Role Overview
The Senior Accountant will oversee key accounting activities covering tax compliance, supplier accounts, monthly closing, reporting, reconciliations, and financial controls. The position will also provide accounting team leadership and support the Financial Controller when required.
Key Responsibilities
Tax & Compliance
Apply current tax requirements to day-to-day accounting entries and transactions.
Prepare and review VAT, PAYE, Withholding Tax, and other applicable tax returns within required timelines.
Prepare responses to tax authority queries relating to submitted returns and tax matters.
Accounting & Posting
Review supplier vouchers for correct coding and allocation.
Confirm that costs are supported by the required documentation, including LPOs and delivery notes.
Verify that invoices receive the required approvals.
Run monthly standing charges and reconcile prepaid and accrued expenses.
Review standing charges to ensure costs are appropriately monitored.
Provide monthly explanations for accounts.
Ensure accounts in classes 1–4 and 6–8 are accurate and fully explainable.
Review and post monthly provisions accurately and on time.
Supplier Accounts & Payments
Track supplier invoices and ensure they are submitted for approval within the required timelines.
Review supplier reconciliations and ensure reconciling items are properly explained.
Review, control, and validate supplier remittances in IRIS.
Monitor supplier balances and identify accounts showing debit balances.
Follow up on long-outstanding unpaid invoices.
Ensure supplier accounts are matched promptly after remittances.
Month-End & Reporting
Support timely and accurate month-end closure in line with regional and headquarters timelines.
Conduct the first review of the general ledger to confirm postings are accurate and complete.
Liaise with payroll, workshop, and invoicing teams to ensure transactions are properly integrated.
Prepare management reporting packages within required deadlines.
Intercompany & Financial Control
Monitor intercompany balances to support monthly settlement and prevent long-outstanding items.
Ensure reconciliations are completed before payments are made.
Support internal controls, implementation, and monitoring.
Assist with internal and external audits.
Support and coordinate end-month stock takes.
Leadership & Cover
Provide guidance and leadership to the accounting team.
Promote teamwork, best practice, and high standards within the team.
Provide cover for the Financial Controller on assigned responsibilities during leave or when required.
Requirements
Bachelor’s degree in Commerce or a related business discipline.
CPA(K) qualification.
5 years of experience in a similar position.
At least 3 years of experience working in freight forwarding.

Role Overview
The Administrative Assistant will provide executive-level administrative and coordination support to the Head of IFF Nairobi. The position involves managing schedules, coordinating meetings, preparing reports, handling correspondence, maintaining records, and following up on management actions and assignments.
Key Responsibilities
Executive Support
Manage the executive calendar, appointments, meetings, and travel arrangements.
Coordinate internal and external meetings and circulate agendas and supporting materials on time.
Arrange meeting facilities, logistics, and visitor requirements.
Record meeting action points and monitor follow-up.
Reporting & Coordination
Gather and consolidate reports, KPIs, statistics, and other information from section heads.
Prepare weekly, monthly, quarterly, and ad-hoc reports.
Support management reviews through preparation of presentations, dashboards, and briefing materials.
Track actions arising from management meetings and monitor their completion.
Communication
Manage incoming and outgoing emails, letters, calls, and official correspondence.
Draft, proofread, and edit reports, presentations, minutes, correspondence, and executive briefs.
Serve as a liaison between the Head of IFF and internal and external stakeholders.
Records Management
Organize and maintain business records and documentation in physical and electronic formats.
Manage filing, document version control, retrieval, and archiving.
Track documents submitted for approval and monitor their progress.
Maintain confidentiality and comply with document retention requirements.
Office Administration
Receive and assist visitors, clients, customers, and employees professionally.
Maintain the organization and readiness of the executive office and meeting areas.
Coordinate office supplies and other administrative requirements.
Follow-Up & Assignment Management
Track assignments and deliverables allocated to direct reports on a weekly and monthly basis.
Monitor progress against agreed actions and provide management with status updates.
Follow up with relevant stakeholders to support timely completion of commitments.
Confidentiality & General Support
Handle sensitive business information discreetly and confidentially.
Follow company policies, procedures, and professional standards.
Manage competing priorities with minimal supervision.
Adapt to changing business requirements and priorities.
Undertake other assigned administrative responsibilities, including support for internal events, conferences, speeches, social networks, and media.
Requirements
Bachelor’s degree or Diploma in Business Administration, Management, Office Administration, or a related field.
At least 2 years of experience supporting senior management or executives.
Experience in logistics, freight forwarding, supply chain, or a multinational environment is an added advantage.
