Job Purpose
The Tally Clerk – Outbound will be responsible for counting, checking, documenting and monitoring coffee as it leaves the warehouse. The role ensures that dispatched consignments match approved quantities and documentation while maintaining proper product identification, quality and accountability throughout the dispatch process.
Key Responsibilities
Count coffee bags or packages accurately during loading and dispatch.
Compare coffee being dispatched with approved orders, release instructions, delivery notes and other relevant records.
Confirm bag numbers, lot numbers, grades, marks and other applicable identification details.
Capture all outbound coffee movements accurately in tally sheets, registers or warehouse systems.
Supervise loading activities to ensure only approved coffee is loaded onto the assigned vehicle.
Confirm that the actual number of bags loaded corresponds with the authorized dispatch quantity.
Immediately report shortages, overages, damaged bags and any other discrepancies.
Inspect the condition of coffee bags before loading and report defects or unusual conditions.
Ensure dispatch documents are fully completed, signed and correctly filed.
Match physical quantities dispatched with warehouse records and supporting dispatch documentation.
Keep accurate daily records of outbound stock movements and prepare required reports.
Work closely with warehouse personnel, drivers, transporters, supervisors and other operational teams during dispatch.
Participate in stocktaking exercises and investigations involving stock differences when required.
Ensure coffee is handled correctly during loading to minimize damage, contamination or loss.
Maintain proper control of warehouse stock and prevent unauthorized removal or movement of coffee.
Follow all applicable warehouse safety, security, quality and food-handling procedures.
Qualifications and Experience
Diploma or Certificate in Supply Chain Management or an equivalent qualification.
Previous experience as a Tally Clerk, Warehouse Clerk or Receiving Clerk is an added advantage.
Experience working with agricultural commodities, coffee, grain or other bulk products is beneficial.
Basic computer skills, including proficiency in MS Excel and warehouse management systems.
Strong numerical and record-keeping abilities.
Ability to maintain accuracy while working under pressure and during extended working periods when necessary.

Tally Clerk – Receiving

Job Purpose
The Tally Clerk – Receiving will handle the accurate receipt, counting, verification, recording and reconciliation of incoming coffee consignments. The position ensures that all quantities received correspond with the accompanying documentation and that incoming stock is properly recorded and accounted for.
Key Responsibilities
Receive incoming coffee consignments and compare the quantities against delivery documentation.
Count and verify every bag or package received to ensure accurate tallying.
Record incoming coffee in the appropriate tally sheets, registers or warehouse systems.
Check bag numbers, stock or lot references, supplier information and other relevant details.
Inspect received coffee bags and immediately report damaged packaging, shortages, excess quantities or other irregularities.
Reconcile the physical quantity received with delivery notes, warehouse instructions and supporting records.
Ensure receiving documents are accurately completed, signed and properly filed.
Coordinate with suppliers, drivers, warehouse employees and supervisors throughout the receiving process.
Maintain complete records of daily stock receipts and prepare reports when required.
Support stocktaking and periodic physical inventory reconciliation exercises.
Ensure received coffee is correctly identified, separated and stored in the designated locations according to instructions.
Follow warehouse safety, security, quality and food-handling requirements.
Protect the confidentiality and accuracy of stock and receiving records.
Qualifications and Experience
Diploma or Certificate in Supply Chain Management or an equivalent qualification.
Previous experience as a Tally Clerk, Warehouse Clerk, Receiving Clerk or Storekeeper is an advantage.
Experience handling coffee, grain, agricultural commodities or other bulk products is beneficial.
Basic computer proficiency, particularly in MS Excel and warehouse management systems.
Strong numerical and record-keeping skills.
Ability to work accurately under pressure and for extended periods when required.
