HR Officer
SPEED System Administrator – Coffee Warehouse
Job Purpose
The SPEED System Administrator will serve as the main system specialist within the coffee warehouse, ensuring that SPEED is used correctly, consistently and efficiently. The role will focus on maintaining accurate system data, supporting users, monitoring compliance, resolving system-related challenges and ensuring smooth warehouse operations. The position will also connect warehouse teams with management and IT or system support teams.
Key Responsibilities
Serve as the main SPEED system contact for warehouse operations.
Ensure warehouse transactions are entered into SPEED accurately and within the required timelines.
Review system activity and identify errors, duplicate transactions, discrepancies or inconsistent data.
Provide first-level assistance to users experiencing SPEED-related operational or transaction problems.
Train and guide both new and existing users on approved SPEED procedures and effective system use.
Monitor adherence to established SPEED processes and system controls.
Reconcile SPEED records regularly with physical inventory and warehouse documentation.
Investigate differences between system records, stock levels and supporting documents, escalating unresolved matters when necessary.
Liaise with IT and SPEED support teams regarding system failures, user access problems, software bugs and requested system modifications.
Help manage user access and ensure permissions are appropriate for each employee’s assigned responsibilities.
Participate in system testing, upgrades, process changes and the rollout of new SPEED features.
Produce and analyze SPEED reports to support warehouse activities, stock management and management decisions.
Ensure system adjustments and transactions have appropriate documentation and traceable audit records.
Provide support during stock counts, audits, investigations and reconciliation exercises.
Identify ways of improving warehouse processes through better use of the SPEED system.
Escalate major system or operational challenges that could affect productivity, inventory accuracy or customer service.
Protect the confidentiality and integrity of system and customer information.
Carry out other SPEED administration and warehouse-related duties assigned by management.

Qualifications and Experience
Diploma or degree in Supply Chain Management, Logistics, Information Technology, Warehouse Management or a related discipline.
At least 2–3 years of experience in warehouse operations, logistics, commodity handling or a related environment.
Practical experience with SPEED or a similar warehouse management system.
Good knowledge of warehouse procedures, inventory management, stock reconciliation and documentation.
Competence in Microsoft Excel and data analysis.
Previous experience providing system support or training other users is an advantage.
HR Officer
Job Purpose
The HR Officer will support the implementation of human resource policies and procedures while ensuring that employment practices comply with applicable labour laws and organizational requirements. The role will provide HR support across recruitment, employee administration, training, employee relations, documentation and workforce-related processes.
Key Responsibilities
Prepare general HR correspondence for management review and approval.
Support recruitment activities by shortlisting candidates, arranging interviews, participating in interviews and communicating interview outcomes.
Follow up on approvals and preparation of employment documents and offer letters for successful candidates.
Monitor recruitment schedules and ensure hiring activities are completed within the required timelines.
Conduct staff induction for designated categories of employees.
Prepare documentation relating to changes in employment terms, secure the necessary approvals and communicate approved changes to Payroll.
Track employee probation periods and contract expiry dates and ensure the required documentation is prepared on time.
Manage the HR helpdesk for assigned departments and respond promptly to employee-related concerns.
Prepare HR reports covering areas such as workforce statistics, disciplinary matters, training feedback, evaluations and Works Council action items.
Coordinate training administration, including NITA applications, training approvals and memos, trainer arrangements, LPO follow-ups, attendance records, certificates and training evaluations.
Monitor fixed-term contract expiry dates and issue advance notifications to facilitate timely renewals or exits.
Keep departmental organograms updated whenever organizational changes occur and review them at least monthly.
Ensure personnel files for new employees are opened promptly and contain all required documents and correspondence.
Maintain employee records and ensure files remain accurate and up to date.
Handle disciplinary procedures for supervisory employees and below, including gathering witness statements, preparing show-cause notices, arranging hearings, recording minutes, communicating outcomes and maintaining relevant records.
Coordinate Works Council meetings and follow up on agreed actions until they are completed.
Manage and track the movement of documents between supply chain sites, ensuring required records are submitted, retrieved and properly tracked.
Qualifications
Degree or Higher Diploma in Human Resources Management.
Membership of the Institute of Human Resources Management (IHRM).
Good knowledge of Kenyan labour laws and employment regulations.
Experience handling mass recruitment processes.
Experience managing disciplinary and grievance matters within a large workforce.
