Human Resource Analyst
Key Responsibilities
HR Information Systems
Administer and maintain the HR4U system, including employee data updates, workflow configuration, troubleshooting, and ongoing system support.
Provide training and technical guidance to managers and employees on the effective use of HR systems.
Escalate complex system issues to the appropriate Head Office support teams and follow up on their resolution.
Create, amend, and deactivate employee records through the Group Identifier Tool as required.
Support administration of the Careers Tool and serve as the primary local contact for Talent Developers in Kenya and the wider region.
Provide first-level assistance to employees experiencing HR system or career-management platform issues.
HR Reporting and Workforce Planning
Prepare HR dashboards, management reports, and workforce analytics covering areas such as remuneration, benefits, staffing levels, diversity, employee mobility, turnover, and talent management.
Support the preparation of salary and benefits surveys, variable compensation reports, workforce plans, headcount analyses, budgets, and organizational communications.
Respond accurately and promptly to requests for HR information and reports from management.
Reward and Benefits Administration
Support the implementation and administration of total-reward programs, including annual salary reviews and quarterly incentive schemes such as VCS and MBO.
Implement approved changes to remuneration and benefits policies and ensure employees are informed of relevant updates.
Maintain accurate reward and benefits guidelines and communicate applicable rules and changes to employees.
Coordinate employee wellness initiatives and related programs.
Participate in compensation and benefits benchmarking surveys and other remuneration-related exercises.
Ensure reward and benefits activities remain within approved budgets and established policies.
Employee Insurance and Medical Benefits
Administer employee insurance arrangements, including inpatient and outpatient medical schemes, group life insurance, group accident cover, Poa Fund benefits, and other approved employee insurance programs.
Coordinate with insurance and healthcare service providers to resolve employee queries and ensure effective service delivery.
Supplier and Vendor Management
Support the establishment and administration of Service Level Agreements with HR service providers.
Monitor vendor performance, service quality, compliance, and delivery against agreed standards.
Work with the Reward & Benefits Manager to address service gaps and implement appropriate corrective actions.
Performance Management
Provide administrative and technical support during annual performance appraisal processes.
Assist with quarterly bonus reviews and ensure relevant performance-management information is accurately captured and processed.
HR Projects
Participate in HR initiatives such as employee surveys, job evaluations, audits, labour or union negotiations, corporate events, and other people-related projects.
Coordinate with external service providers, internal stakeholders, and ADFM where required to ensure successful project delivery.
Provide administrative and analytical support to HR projects and ensure agreed timelines are met.
Employee Communication
Assist HR management in preparing and distributing employee communications, including announcements relating to staffing changes, policies, benefits, and other HR matters.
Provide employees with guidance on HR procedures, policies, rules, and their practical application.
Records and Confidential Information
Maintain complete, accurate, and up-to-date employee records.
Act as a custodian of HR documentation through effective management of the HR Registry.
Handle employee, remuneration, medical, and other sensitive HR information with the highest level of confidentiality.
Ensure HR records and systems provide accurate and timely information to support business decision-making.
Key Performance Expectations
Maintain reliable, accurate, and timely HR reports and employee records.
Ensure the HRIS is effectively managed and continues to provide practical value to the organization.
Administer employee reward and benefits programs responsibly and within approved financial and policy parameters.
Complete assigned HR projects accurately and within agreed deadlines.
Provide responsive and professional support to employees, managers, service providers, and other stakeholders.
Qualifications and Experience
Bachelor's degree in Human Resource Management, Business Administration, or another relevant business discipline.
Professional certification in Human Resource Management from a recognized institution.
At least three (3) years of relevant HR experience.
Advanced proficiency in Microsoft Excel and Microsoft Word.
Strong analytical, organizational, communication, and customer-service skills.
Ability to manage competing priorities and consistently meet deadlines.
High levels of integrity, discretion, and confidentiality.
Strong attention to detail and sound judgment when handling sensitive employee matters.
Executive Driver
Key Responsibilities
Executive and Family Transportation
Provide safe, dependable, discreet, and professional transportation services to the General Manager and authorized immediate family members.
Plan journeys and routes effectively to ensure punctual arrival while responding appropriately to changes in schedules and travel requirements.
Transport family members to approved destinations, including schools, medical or personal appointments, airports, social functions, and other authorized engagements.
Assist with approved personal and family logistics, including collecting and delivering documents, packages, and other items.
Coordinate transportation arrangements for official and family-related travel, including airport transfers.
Remain available for occasional evening, weekend, public holiday, or emergency assignments when required.
Vehicle Management
Ensure the assigned vehicle is clean, secure, well maintained, and ready for use at all times.
Conduct routine daily checks covering vehicle condition, safety equipment, fuel, tyres, fluids, and general roadworthiness.
Arrange scheduled servicing, repairs, insurance renewals, licensing, and statutory vehicle inspections.
Maintain accurate records relating to mileage, fuel usage, repairs, servicing, and vehicle maintenance schedules.
Ensure vehicles comply with all applicable legal, regulatory, and safety requirements.
Safety and Security
Observe all traffic laws and apply defensive-driving techniques consistently.
Maintain strict confidentiality regarding business meetings, conversations, travel plans, and other sensitive information encountered during official duties.
Remain alert to potential safety and security risks affecting the General Manager, family members, passengers, and company property.
Report accidents, incidents, mechanical problems, security concerns, or other unusual occurrences immediately through the appropriate channels.
Professional Conduct
Maintain a professional appearance and demonstrate appropriate conduct while representing the organization.
Treat passengers, colleagues, service providers, officials, and other stakeholders with courtesy and respect.
Establish positive professional relationships with individuals encountered during official assignments.
Demonstrate reliability, discretion, punctuality, and professionalism at all times.
Qualifications and Experience
Kenya Certificate of Secondary Education (KCSE) or an equivalent qualification.
Valid Kenyan driving licence with a demonstrably clean driving history.
Current certification in defensive driving and first aid.
At least five (5) years of experience as an executive, corporate, VIP, or similar professional driver.
Previous experience providing transportation services to senior executives or high-level officials.
Strong knowledge of local roads, routes, traffic patterns, road regulations, and safety requirements.
