Administration Officer
Key Responsibilities - Senior Assistant Office Administrator
Record, transcribe, and prepare documents from verbal instructions and dictated information.
Utilize electronic office systems and digital platforms to gather, analyze, and process information as required.
Operate and maintain standard office equipment and ensure its effective use in supporting daily operations.
Receive, welcome, and assist visitors, clients, and other stakeholders in a professional manner.
Manage incoming and outgoing telephone communications, ensuring inquiries are handled promptly and appropriately.
Coordinate reservations for meeting rooms, conference facilities, and other office spaces.
Address customer inquiries, concerns, and complaints efficiently while maintaining high service standards.
Safeguard office records, equipment, files, and confidential documents, including sensitive or classified information.
Ensure the accuracy, confidentiality, integrity, and protection of organizational data and information systems.
Maintain organized and up-to-date electronic and physical filing systems to facilitate efficient record retrieval.
Draft and prepare routine correspondence, reports, and administrative communications.
Coordinate office protocol requirements and uphold professional standards of etiquette in all interactions.
Administer petty cash transactions, maintain accurate records, and ensure accountability for expenditures.
Identify operational, administrative, and compliance risks within the department and recommend appropriate mitigation measures.
Support the implementation and monitoring of departmental policies, objectives, and governance frameworks.
Contribute to process improvement initiatives and support the adoption of Business Process Re-engineering (BPR) practices to enhance efficiency.
Assist in the execution and maintenance of the department’s business continuity and operational resilience plans.
Promote a workplace culture grounded in integrity, accountability, ethical conduct, and responsible corporate citizenship.
Key Responsibilities - Administration Officer - Jobs In Kenya Today
Coordinate and allocate appropriate office space to staff members to ensure an efficient and conducive working environment.
Track, monitor, and manage the movement, utilization, and location of organizational equipment and assets.
Ensure office machinery and equipment remain operational through regular inspections, servicing, and maintenance arrangements.
Facilitate the renewal and management of insurance covers, visas, transport licensing certifications, and other required regulatory documents.
Oversee the upkeep, repair, and preservation of the Authority’s physical assets to ensure optimal functionality and longevity.
Authorize and verify vehicle work tickets and related transport documentation in accordance with established procedures.
Provide supervision, guidance, and performance oversight for administrative support staff, including drivers and office assistants.
Coordinate preventive and corrective maintenance activities for office equipment, furniture, and operational machinery.
Maintain accurate and up-to-date asset registers, inventory records, and documentation relating to organizational property.
Conduct regular monitoring and verification of asset locations to ensure accountability and proper asset management.
Ensure high standards of cleanliness and hygiene by coordinating daily and periodic cleaning activities across the Authority’s premises.
Monitor outsourced or internal cleaning services to ensure they meet organizational standards and operational requirements.
