Job Purpose
The Boarding Officer will support and coordinate vessel port calls, ensuring ships are properly cleared, operational requirements are handled efficiently, and customers and regulatory stakeholders receive timely support.
Key Duties and Responsibilities
Declare arriving vessels at the KPA Information Office and represent the company during the 10 o’clock port meetings.
Submit required manifest copies to KPA, KRA, and other relevant authorities for loading activities.
Coordinate with KRA Border Control and CPS, Port Health, Fisheries, KEPHIS, and other statutory agencies to ensure vessels are cleared to commence operations once alongside.
Prepare and issue shore passes to crew members.
Attend to crew requirements and provide assistance whenever needed.
Ensure vessels are cleared promptly for both inward and outward movements.
Confirm that invoices and cargo-related documents for services provided are received and acknowledged before the vessel sails.
Participate in the company’s internal morning meetings.
Prepare and submit fortnightly operational reports to the Head of Department.
Provide regular updates on vessel progress to the HOD.
Verify the contents of Statements of Facts (SOF), Delivery Orders (D.O), and manual manifests.
Support the control and coordination of contractor access and vessel boarding.
Arrange and coordinate gangs required for loading and discharge operations.
Monitor vessel cargo operations and ensure activities are carried out efficiently.
Handle ship husbandry requirements.
Follow up with Marine and Terminal teams to secure safe and timely berthing.
Make advance arrangements for fenders and other required discharge and loading facilities.
Support other office functions whenever assigned.
Coordinate police escorts and immigration/customs procedures where firearms are being embarked or disembarked.
Notify Customs and KMA/KRA of vessel arrivals.
Submit required reports to the HOD.
Attend relevant port meetings.
Qualifications and Experience
Professional qualification in Shipping, such as ICS, Supply Chain, or Logistics.
At least 2 years of progressive experience in ship operations.
Proficiency in Microsoft Office and other standard office applications.
Knowledge of ERP software is required.
ICMS training and experience using the Kentrade system will be an added advantage.
