Overall Responsibility
The Procurement Officer will oversee the timely, economical, and compliant acquisition of goods, services, and medical supplies needed for hospital operations. The role will ensure required quality standards are maintained while developing dependable supplier relationships that contribute to uninterrupted patient care.
Key Responsibilities
Develop procurement plans in collaboration with heads of departments.
Identify, assess, and negotiate with suppliers to obtain competitive prices and quality goods and services.
Prepare and issue purchase orders based on approved budgets and established procurement procedures.
Maintain an up-to-date database of pre-qualified suppliers.
Ensure procurement documentation is properly maintained and filed to support audits and compliance requirements.
Monitor supplier performance and follow up to ensure goods and services are delivered on schedule.
Work with the Finance department to facilitate accurate invoice verification and timely payment processing.
Ensure procurement activities comply with internal policies and applicable statutory requirements.
Conduct regular market research and price benchmarking to promote value for money.
Work together with the Stores team to maintain appropriate inventory levels and minimize both stock-outs and excess stock.
Participate in tender processes and procurement evaluation committees when required.
Contribute to initiatives aimed at improving procurement processes and overall departmental efficiency.
Requirements
Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, or a related discipline.
Membership of the Kenya Institute of Supplies Management (KISM).
At least 2 years of experience in a similar position, preferably within a healthcare environment.
Strong supplier negotiation and vendor management capabilities.
High level of integrity and sound understanding of procurement ethics.
Proficiency in Microsoft Office and procurement management systems.
