Key Responsibilities
Agency Payroll, Commissions & Benefits
Prepare, verify, and process monthly agency payroll, commissions, overrides, retainers, incentives, and approved benefits within the required timelines.
Handle adjustments, reversals, clawbacks, advances, recoveries, and authorised or statutory deductions accurately.
Maintain records of agent benefits, allowances, and entitlements, including enrolment, claims processing, and exit benefits.
Implement approved career development programmes, sales force benefits, incentive schemes, and campaigns in accordance with company policies.
Data Management, Reconciliations & Controls
Verify and maintain accurate agent information, including bank details, tax information, agency codes, and remuneration records.
Reconcile payroll, remuneration, benefits, policy, and financial information across relevant systems, including the General Ledger.
Investigate and resolve discrepancies, duplicate or missing payments, incorrect deductions, and outstanding balances.
Maintain complete audit records and support internal and external audits, compliance reviews, and control improvement activities.
Agency Operations Support
Monitor sales force account debits and credits and ensure proper recovery and clearance of advances and outstanding balances.
Support the coding of sales teams in line with company requirements.
Coordinate sales team onboarding and ensure approved tools of trade are provided.
Organise sales management meetings, awards forums, and other agency support activities as required.
Assist with sales force learning and development activities, including training programmes and academies.
Reporting & Stakeholder Management
Prepare monthly reports and analysis covering commissions, payroll, incentives, benefits utilisation, deductions, recoveries, variances, and outstanding matters.
Track and maintain information on sales force business acquisition activities, employer markets, and partnerships.
Respond to queries concerning remuneration and benefits and provide statements when required.
Work with internal and external stakeholders to resolve payroll, operational, and benefits administration issues, escalating high-risk matters when necessary.
Compliance & Governance
Ensure payroll and benefits administration complies with company policies, delegated authority limits, regulatory requirements, and applicable tax laws.
Protect the confidentiality of payroll and remuneration information.
Identify opportunities to improve processes through audits, reviews, and data analysis.
Academic Qualifications
Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, Insurance, or a related field.

Review and issue pre-authorisations.
Manage the 24-hour call centre through mobile phones and office lines and respond to client enquiries as they arise.

Records and Recovery Management
Maintain recovery records, including the recovery register, discharge vouchers register, and incoming cheque register for advocates and in-house settlements.

Respond to demand letters received from third parties and insurance companies.
Prepare legal opinions on settlement proposals for matters before court, including swapping and pursuing knock-for-knock settlements.
