Job Purpose
The Head of Finance and Operations will provide strategic and practical leadership over the financial and operational functions of the Cooperative Union and its various business units, including the Coffee Farm, Coffee Milling, Real Estate Management, Credit Section, Agrovet Business, Coffee Value Addition, and Processed Coffee Marketing.
Duties and Responsibilities
Develop and execute the cooperative’s financial strategy in line with its overall business objectives and provide financial guidance to the CEO and Board.
Lead annual budgeting and financial planning and regularly assess budgets, financial plans, and performance against approved targets.
Ensure monthly, quarterly, and annual financial statements, management accounts, and Board reports are prepared accurately and on schedule in accordance with IFRS.
Oversee cash flow management, treasury planning, and liquidity to maintain adequate funding and maximize the effective use of financial resources.
Ensure compliance with applicable legislation and regulatory requirements, including the Co-operative Societies Act and KRA tax obligations.
Establish effective internal controls and risk management mechanisms to protect cooperative assets and resources.
Coordinate annual external audits and maintain effective working relationships with auditors.
Identify financial and operational risks, assess their potential impact, and implement appropriate mitigation measures.
Provide oversight of daily operations across all cooperative business units to promote efficient and coordinated service delivery.
Develop, implement, and monitor operational policies and Standard Operating Procedures to promote consistency across departments.
Improve resource utilization and operational processes to support efficiency and sustainable growth.
Oversee administrative operations and facility management to ensure departments have the necessary logistical support.
Lead and develop finance and operations teams while promoting accountability and high performance.
Coordinate employee development, performance evaluations, and relevant staff training.
Set clear performance objectives, monitor results, and ensure teams remain accountable for their responsibilities.
Ensure the Board receives accurate and timely financial and operational information required for effective decision-making.
Maintain productive relationships with financial institutions, KRA, auditors, and other external stakeholders.
Promote financial openness and clear communication with cooperative members.
Qualifications and Experience
Bachelor’s degree in Accounting, Finance, Business Administration, Economics, Agribusiness, or another relevant business discipline from a recognized university.
A Master’s degree such as an MBA or equivalent will be an added advantage.
Certified Public Accountant of Kenya (CPA-K) or an equivalent professional qualification.
At least seven years of practical experience in agribusiness or a multi-entity business environment, including a minimum of three years in senior management.
Must be aged 35 years or above.

Job Purpose
The Human Resources and Administration Officer will combine HR management responsibilities with executive administrative support to the Chief Executive Officer. Reporting directly to the CEO, the position will coordinate the Cooperative Union’s human resource and administrative functions, supporting the recruitment, development, motivation, and retention of employees while maintaining effective administrative systems.
Duties and Responsibilities
Support the preparation, implementation, and regular review of HR policies, procedures, manuals, and systems in accordance with labour legislation and accepted HR practices.
Provide management with HR information, analysis, and recommendations to support organizational decisions.
Monitor developments in the labour market and advise management on appropriate responses.
Coordinate recruitment activities from identifying staffing needs through selection and onboarding.
Prepare recruitment materials, coordinate vacancy advertisements, and maintain employee competency records.
Facilitate employee induction and follow up on probationary periods.
Assist in implementing initiatives designed to improve employee retention.
Prepare employment contracts, confirmation letters, promotion and transfer documentation, and other HR correspondence.
Coordinate the organization’s employee performance management process.
Conduct or coordinate training needs assessments and staff development initiatives.
Advise employees and managers on the interpretation and application of HR policies and procedures.

Sacco Professional Driver

Job Purpose
The Professional Driver will provide safe, dependable, and professional transportation to the Sacco Chief Executive Officer and other authorized personnel. The position will also be responsible for maintaining assigned vehicles, delivering documents, and providing logistical and administrative assistance as required in accordance with Sacco policies and service standards.
Key Duties and Responsibilities
Provide reliable transport services for official assignments and ensure personnel reach destinations safely and on time.
Keep the assigned vehicle clean and in good operating condition and report mechanical problems without delay.
Carry out routine checks on engine coolant, oil, brake and clutch fluids, battery condition, and other important vehicle components before operation.
Ensure the vehicle is used efficiently, safely, and economically.
Conduct regular vehicle inspections and comply with the Highway Code and applicable road safety requirements.
Attend to minor vehicle maintenance issues and promptly escalate major mechanical faults.
Keep vehicle logbooks and other required records accurate and current.
Observe traffic regulations, road safety requirements, and all relevant Sacco policies and procedures.
Ensure the assigned vehicle remains properly serviced, maintained, and roadworthy.
Perform any other duties assigned by the organization from time to time.
Qualifications and Experience
KCSE mean grade C (Plain) or a recognized certificate in any field.
At least four years of relevant driving experience, preferably gained within a reputable institution or corporate organization.
Valid driving licence covering the appropriate vehicle category.
Demonstrated defensive driving ability; possession of a defensive driving certificate will be an advantage.
Clean driving history without serious traffic violations.
Good communication and interpersonal skills.
Ability to drive safely under varying road, traffic, and weather conditions.

Chapter Six Requirements

Duties and Responsibilities
Prepare the annual ICT work plan, budget, and activity schedules in line with the cooperative’s strategic objectives.
Contribute to the development, review, and implementation of ICT policies, standards, procedures, and controls.
Advise management on technology investments, ICT risks, and opportunities for digital improvement.
Prepare ICT reports for management and the Board and monitor approved technology projects and programmes.
Administer and maintain core business systems, including financial, farm management, milling production, property management, Agrovet inventory, and coffee marketing platforms.
Manage databases, servers, networks, and digital platforms to ensure reliable service delivery.
Monitor system availability, capacity, performance, and utilization and recommend improvements where necessary.

Financial Responsibilities

Prepare and analyze credit applications in accordance with the Sacco’s credit policy, agreed pricing arrangements, and approved service timelines.
Identify opportunities to introduce customers to additional Sacco products and services.
Ensure all lending activities comply with approved credit policies and procedures.
Customer Responsibilities
Manage and monitor the assigned loan portfolio.
Establish customers’ actual financing requirements and ensure proposed facilities appropriately match those needs.
Strengthen customer retention and keep prospect and customer information accurate and updated.
Identify opportunities to address customer needs through relevant Sacco products and services.
Follow up complaints and ensure they are resolved within established service standards and procedures.
Make regular targeted customer calls to maintain relationships and improve service delivery.
Operational Responsibilities
Maintain updated customer file schedules covering KYC details, call reports, loan maturities, security documentation, insurance, applicable interest rates, and outstanding instalments.
Ensure compliance with regulatory requirements and maintain effective KYC and Anti-Money Laundering (AML) controls.
Keep credit and customer records complete, accurate, and current.
Conduct all customer interactions in accordance with the Sacco’s Code of Ethics.
Qualifications and Experience
Bachelor’s degree from a recognized university, preferably in Business, Finance, Economics, Commerce, or a related discipline.
At least two years of relevant experience in credit, business development, relationship management, or a related function, preferably within a Sacco, bank, or financial services organization.
Practical experience in credit appraisal, loan portfolio management, and responding to customer requests and concerns.
Good knowledge of prudential requirements, KYC procedures, and applicable credit and regulatory standards.
Strong analytical, communication, and customer relationship management skills.

Strong proficiency with professional design tools such as Figma, Adobe XD, Photoshop, Illustrator, and other Adobe Creative Suite applications.
Creative and analytical problem-solving ability with demonstrated experience leading complex projects and influencing decisions across multiple stakeholders and multidisciplinary teams.
