Job Purpose
To deliver efficient front desk support while ensuring accurate patient registration, billing, payment processing, and maintaining patient records.
The Admin Assistant acts as the first point of contact for patients and visitors, offering excellent customer service and helping support the hospital’s revenue collection processes.
Key Responsibilities
Reception Duties
- Greet patients, visitors, and other clients in a professional and friendly manner.
- Register patients and confirm personal and insurance information.
- Schedule, reschedule, and confirm patient appointments.
- Guide patients and visitors to the right departments or healthcare providers.
- Answer, screen, and direct incoming phone calls quickly.
- Answer patient questions and provide correct information about hospital services.
- Keep the reception area clean, organized, and welcoming.
- Receive, organize, and distribute incoming letters and documents.
- Keep patient information confidential as per hospital rules.
Billing and Financial Duties
- Create accurate invoices for patient consultations, procedures, lab tests, pharmacy services, and other hospital charges.
- Process patient payments through cash, mobile money, cheque, card, or other approved methods.
- Issue official receipts for all payments received.
- Reconcile daily cash collections and prepare end-of-day reports.
- Record billing transactions accurately in the hospital management system.
- Check insurance details and help prepare insurance claims when needed.
- Follow up on unpaid patient balances as required by hospital policies.
- Help prepare financial reports when needed.
- Keep billing records and supporting documents properly filed.
Administrative Duties
- Keep patient records accurate and update hospital databases.
- Help communicate between patients, doctors, and other hospital departments.
- Assist with organizing, copying, scanning, and managing documents.
- Track and report on shortages of office and reception supplies.
- Support other administrative tasks as directed by management.
Qualifications and Requirements
Qualifications
- A diploma or certificate in Business Administration, Health Records, Front Office Management, Accounting, Finance, or a related field.
- Training in medical billing or healthcare administration is a plus.
Experience
- Minimum of 2 years of experience in a hospital, clinic, or healthcare setting.
- Experience with hospital management systems and billing software is preferred.
- Experience handling cash and preparing financial summaries is a plus.
Knowledge and Skills
- Strong customer service and interpersonal abilities.
- Good verbal and written communication skills.
- Strong organizational and time management skills.
- Basic understanding of accounting and bookkeeping.
- Proficient in Microsoft Office and hospital information systems.
- High level of accuracy and attention to detail.
- Ability to handle multiple tasks and work under pressure.
- Strong ethics and ability to keep patient information private.
