Main purpose of the job
To provide efficient administrative and operational support to the service line and partners, making sure financial transactions are processed accurately, logistics are coordinated effectively, client-related tasks are completed on time, and records and reports are well-organized.
This helps keep business operations running smoothly and supports team productivity.
Key responsibilities
Help with tendering and proposal processes by communicating with potential clients, responding to their questions, and preparing submission documents.
Deal with administrative questions related to proposals and tenders in a precise and detail-oriented way.
Prepare and send tenders and proposals that follow internal quality standards and submission guidelines.
Give proactive administrative support to partners and managers by anticipating their needs and ensuring smooth work processes in a fast-paced corporate setting.
Handle incoming and outgoing communications, both electronic and paper-based, ensuring they are sent and received on time and accurately.
Arrange domestic and international travel, including flights, hotels, and transportation, and create travel plans.
Answer external phone calls professionally and promptly, either resolving issues or directing them to the right person.
Schedule and organize meetings, appointments, and travel plans, including logistics and necessary materials, to ensure everything runs smoothly.
Keep track of office supplies and branded materials, making sure they are available and stock levels are accurate.
Process purchase requests while following procurement policies and completing them on time.
Maintain confidentiality, protect data, and follow corporate governance rules in all interactions and record-keeping.
Skills and experience
Have strong organizational and project management skills, with the ability to manage several tasks, prioritize work well, and meet deadlines.
Be able to communicate effectively in writing and verbally, and have a professional telephone manner.
Have experience in arranging travel and managing complex schedules.
Be familiar with the tender and proposal process and preparing supporting documents.
Be comfortable using computer systems, including Microsoft Office applications like Word, Excel, PowerPoint, and Outlook.
Have a keen eye for detail and be accurate when preparing documents and entering data.
Have good numerical and financial skills to handle purchase requests and budgeting tasks.
Qualifications and personal attributes
A relevant administrative or business qualification is an advantage.
Be proactive, resourceful, and customer-focused with a solution-oriented attitude.
Be discreet and trustworthy, with a strong sense of confidentiality and corporate responsibility.
Be a team player who can work both independently and support various stakeholders.
Be flexible and able to adapt to changing priorities and be available for extended hours when needed.
