Admin Assistant – HUCAA Alumni Association
Job Overview
The HUCAA Alumni Association (HUCAA) is looking for an organized, proactive and committed Admin Assistant to support the association’s administrative operations, communication activities and event logistics. The position will serve as an important link between alumni members, partners, friends of the association and its governing bodies, ensuring effective coordination and communication across the network.
Key Responsibilities
Administration
Manage the association’s correspondence, including emails, official letters and WhatsApp communications.
Prepare administrative documents, notices and internal communications.
Maintain and regularly update the membership database.
Support the association in meeting statutory and audit compliance requirements.
Provide ongoing administrative assistance to HUC as required.
Association Coordination
Act as the main point of contact for alumni, friends, partners and other stakeholders.
Facilitate the timely and effective sharing of information across the association’s network.
Respond professionally to internal and external inquiries.
Support initiatives aimed at strengthening the association’s visibility and representation.
Handle new membership registrations and related administrative processes.
Logistics and Events
Assist with planning and coordinating association events, including meetings, conferences and alumni gatherings.
Coordinate event logistics such as venue bookings, materials, participant reception and other arrangements.
Follow up on planned activities to ensure they are implemented effectively.
Help oversee the smooth running and completion of organized events.
Requirements
Mandatory Qualifications and Skills
Applicants should have a connection with HUC and preferably be an alumnus of the institution or have previously been associated with HUC or HUCAA in a formal capacity, whether through a certificate, diploma, degree programme or another recognized engagement.
Excellent written English skills are required, while knowledge of additional languages is an advantage.
Good working knowledge of Microsoft Office tools, including Word and Excel, as well as email platforms.
Proficiency in Canva.
Ability to effectively use WhatsApp and social media platforms including Instagram, Facebook and LinkedIn.

Excellent written, verbal and interpersonal communication skills.
Ability to work independently while contributing effectively within a team.
Proactive approach with a strong sense of ownership and responsibility.
Practical skills in logistics coordination and event management.
Additional Advantages
Previous experience working with an association or a similar organization.
Familiarity with digital communication and engagement tools.
Experience supporting or coordinating projects.

Able to handle sensitive information with discretion and maintain confidentiality.
