Administrative Support That Moves With the Embassy
Some administrative roles are built around one desk and one team. This one is different.
The position provides as-needed administrative support across sections of the U.S. Embassy, stepping in where a section requires assistance. That means the successful candidate needs to be comfortable working with different teams, handling varied office responsibilities, and maintaining the same level of professionalism regardless of where support is needed.
What your day could involve
The work can shift depending on the section you are supporting. You may be asked to prepare official correspondence or diplomatic notes, assist with reports and cables, or put together materials such as briefing books and talking points.
There is also a strong day-to-day office component. You may:
Manage incoming calls and make sure messages reach the right people.
Welcome and escort visitors and work crews.
Coordinate appointments and assist with meeting arrangements.
Record meeting notes accurately.
Handle the sorting and distribution of mail.
Keep physical and electronic records properly organized.
Provide additional administrative assistance when a section's needs require it.
The position operates under the direct supervision and direction of the relevant Section Chief. There is also an indirect reporting relationship with the SHRO or DHRO.
The person behind the role
This opportunity calls for someone who already understands the fundamentals of professional office administration. Two years of administrative and clerical office experience is required, along with a High School Diploma.
You should also be able to navigate a complex workplace. The role requires broad knowledge of the Embassy, including its agencies, and involves working with personnel across the Embassy and other agencies.
A working understanding of agency correspondence and applicable office procedures is important. The position may also require responding to certain questions from VIP visitors and the Front Office concerning the relevant area, so confidence, discretion, and sound judgment matter.

This is an environment where confidentiality is imperative.
The person in the role will interact with VIP visitors and the Front Office as well as employees from different parts of the Embassy. Professional communication and the ability to handle information appropriately are therefore central to the position.
