Position Overview
The Assistant Workshop Manager will work closely with the Workshop Manager to coordinate and support day-to-day workshop activities. The role will cover staff supervision, workplace safety, equipment and asset management, administration, procurement, inventory control, quality assurance, customer service, and operational reporting.
The successful candidate will help ensure workshop operations are delivered efficiently, on schedule, to the required quality standards, and in accordance with established procedures.
Key Responsibilities
Workshop Operations and Planning
Assist the Workshop Manager in coordinating daily activities in line with organisational objectives, KPIs, SOPs, and management requirements.
Help monitor operational performance and ensure workshop processes are followed consistently.
Staff Supervision and Development
Provide guidance and practical support to workshop employees on technical procedures, safe working methods, SOPs, templates, and performance standards.
Support staff development and promote adherence to established workshop practices.
Human Resource Support
Assist with employee induction, orientation, attendance tracking, duty scheduling, leave planning, performance reviews, disciplinary matters, staff exits, and training arrangements in coordination with HR.
Help maintain accurate staff-related records and schedules.
Assets, Tools and PPE
Coordinate the proper allocation, use, and accountability of workshop equipment, tools, PPE, vehicles, appliances, and other operational resources.
Ensure workshop assets are handled safely and maintained appropriately.
Administration and Records
Maintain effective filing and document management systems within the workshop.
Support document archiving, communication, stationery management, document circulation, and compliance with administrative procedures.
Workshop Security
Monitor visitor access and staff movement within workshop areas.
Maintain control of workshop keys, official stamps, disposed spare parts, client property handover records, and other security documentation.
Health, Safety and Compliance
Assist in implementing environmental, health, and safety requirements throughout workshop operations.
Coordinate health and safety committee meetings and support workplace audits.
Assist with hazard assessments, permit requirements, safety documentation, and implementation of safe working practices.
Housekeeping and Facility Management
Maintain high standards of cleanliness and organisation throughout the workshop.
Oversee waste segregation, PPE cleaning, yard maintenance, engine room cleanliness, service bay organisation, and general facility conditions.
Ensure work areas remain safe, orderly, and suitable for operations.
Procurement and Inventory Management
Assist with procurement activities and ensure stock is replenished according to established requirements.
Monitor minimum and maximum inventory levels and coordinate with suppliers where necessary.
Support proper store organisation and the processing of GRNs, issue notes, returns, stock transfer notes, dispatch records, and other inventory documentation.
Quality Control and Customer Service
Participate in EHS, security, building, asset, and inventory inspections.
Assist in preparing bills of quantities, cost estimates, insurance-related documentation, job cards, worksheets, and labour utilisation records.
Support inspections of customer assets and follow up on repairs and outstanding workshop activities.
Help ensure customer concerns are addressed promptly and services meet expected quality standards.
Key Deliverables
Effective staff development and consistent compliance with SOPs.
Accurate workshop records, reports, documentation, and operational communication.
Proper accountability and utilisation of workshop assets, PPE, and other resources.
Compliance with health, safety, security, and operational requirements.
Effective inventory management and quality control.
High standards of customer service and timely resolution of corrective actions.
Key Skills and Competencies
At least 5 years of experience managing or supporting operations within a busy automotive or workshop environment.
Strong knowledge of workshop administration and operational process management.
Effective leadership, staff supervision, communication, and coordination abilities.
Good understanding of SOP implementation, workplace safety, housekeeping, PPE management, and workshop controls.
Strong reporting, documentation, record-keeping, and follow-up skills.
Ability to support procurement, stock management, quality assurance, and customer service activities.
Ability to remain organised and effective in a demanding workshop environment.
High standards of integrity, accountability, teamwork, and operational discipline.
