Audit Associate Job Description
1. Job Summary
The Audit Associate is responsible for supporting the Internal Audit function by conducting independent and objective reviews of financial, operational, compliance, and risk management processes across the organization. The role focuses on evaluating the effectiveness of internal controls, identifying operational risks, ensuring compliance with company policies and statutory regulations, and recommending improvements that enhance efficiency, accountability, and governance.
The successful candidate will participate in planning and executing audit assignments, preparing audit reports, investigating irregularities, verifying financial and operational records, and monitoring the implementation of audit recommendations. The position requires strong analytical skills, integrity, attention to detail, and the ability to work independently while maintaining professional objectivity and confidentiality.
2. Key Duties and Responsibilities
2.1 Internal Audit Planning
The successful candidate will:
Assist in developing annual, quarterly, and monthly internal audit plans.
Participate in risk assessments across departments and operational units.
Prepare audit programs, checklists, and working papers.
Identify audit priorities based on organizational risks.
Support the scheduling and coordination of audit assignments.
Ensure audit plans align with organizational objectives and regulatory requirements.
2.2 Operational Audits
The Audit Associate will:
Conduct audits of operational processes to assess efficiency and compliance.
Review production activities and operational records.
Verify production output against dispatch and inventory records.
Examine equipment utilization, maintenance records, and operational performance.
Audit drilling, blasting, crushing, loading, and other operational processes where applicable.
Assess resource utilization and identify opportunities for operational improvement.
Review weighbridge operations and verify the accuracy of recorded transactions.
Identify process weaknesses and recommend corrective actions.
2.3 Financial Audits
The employee will:
Review cash handling procedures and petty cash management.
Verify procurement transactions and compliance with purchasing procedures.
Examine supplier payments and supporting documentation.
Audit payroll records to ensure accuracy and compliance.
Verify inventory valuations and financial records.
Assess compliance with accounting policies and financial reporting standards.
Support investigations relating to financial discrepancies.
2.4 Inventory and Asset Audits
The successful candidate will:
Conduct periodic physical stock counts.
Verify inventory records against physical stock.
Audit fuel inventories and fuel usage records.
Review spare parts inventory management.
Verify fixed asset registers and asset movements.
Inspect company equipment, machinery, and other organizational assets.
Support audits of controlled inventory such as explosives where authorized and in accordance with applicable regulations.
2.5 Compliance Audits
The Audit Associate will:
Assess compliance with company policies and procedures.
Verify compliance with tax legislation and statutory obligations.
Review adherence to labour laws and employment regulations.
Evaluate compliance with environmental standards.
Assess occupational health and safety practices.
Review compliance with ISO standards and other quality management systems where applicable.
Identify compliance gaps and recommend corrective measures.
2.6 Risk Management
The employee will:
Identify operational, financial, and compliance risks.
Evaluate the effectiveness of internal control systems.
Recommend practical risk mitigation strategies.
Monitor implementation of corrective actions.
Support enterprise risk management initiatives.
Report significant risks to management.
2.7 Fraud Prevention and Investigation
The successful candidate will:
Participate in investigations involving suspected fraud or misconduct.
Conduct surprise audits when required.
Identify weaknesses in internal control systems that may expose the organization to fraud.
Gather and document audit evidence objectively.
Report suspicious activities immediately through appropriate reporting channels.
Recommend measures to strengthen fraud prevention controls.
2.8 Audit Documentation and Reporting
The Audit Associate will:
Prepare comprehensive audit working papers.
Maintain complete audit evidence and supporting documentation.
Compile audit findings accurately.
Draft clear and professional audit reports.
Present audit observations and recommendations to supervisors.
Monitor implementation of agreed audit recommendations.
Maintain proper audit files for future reference.
2.9 Continuous Improvement
The employee will:
Recommend improvements to business processes and internal controls.
Participate in reviewing and updating company policies.
Support the implementation of improved control procedures.
Assist in training departments on internal control requirements.
Promote a culture of accountability, compliance, and continuous improvement.
Support organizational initiatives aimed at improving operational efficiency.
2.10 Collaboration and Stakeholder Engagement
The successful candidate will:
Work closely with Finance, Operations, Procurement, Human Resources, Stores, and other departments.
Maintain professional relationships with internal and external stakeholders.
Communicate audit findings professionally and objectively.
Participate in audit meetings and management discussions.
Support management in implementing audit recommendations.
3. Minimum Qualifications
Applicants should possess the following qualifications:
Bachelor's Degree in Accounting, Finance, Auditing, Business Administration, Economics, or another related field from a recognized institution.
CPA Part II, CPA Part III, ACCA, CIA, or progress toward professional certification will be an added advantage.
Membership in a recognized professional accounting or auditing body is desirable.
4. Work Experience
The ideal candidate should have:
A minimum of two (2) to three (3) years of experience in internal audit, external audit, finance, accounting, or risk management.
Experience working in quarrying, mining, manufacturing, construction, heavy industry, or a similar operational environment will be an added advantage.
Practical experience conducting operational, financial, and compliance audits.
Experience using audit software or Enterprise Resource Planning (ERP) systems.
5. Required Skills and Competencies
The successful candidate should demonstrate the following skills:
Strong knowledge of internal auditing standards and audit methodologies.
Good understanding of accounting principles and financial controls.
Knowledge of risk management frameworks and internal control systems.
Familiarity with inventory management and stock control procedures.
Experience using ERP systems such as SAP, Oracle, Microsoft Dynamics, or Sage.
Advanced Microsoft Excel and data analysis skills.
Good understanding of Kenyan tax laws, labour laws, and regulatory requirements.

7. Working Environment
The Audit Associate will primarily work at quarry sites, production facilities, warehouses, workshops, stores, fuel stations, weighbridges, and other operational locations. The position requires regular travel to satellite sites, physical inspections of operational areas, and occasional work outside normal business hours to support stock counts, investigations, and surprise audits. The successful candidate must observe all occupational health and safety requirements, wear appropriate personal protective equipment (PPE), and work safely in environments that may involve dust, noise, heavy machinery, and outdoor conditions.
