Compliance Intern
Position Summary
The Compliance Intern will assist the Compliance function with administrative, coordination and documentation activities. The position will mainly focus on keeping compliance trackers, calendars, records and supporting documents accurate and up to date.
The intern will also assist with audit and assurance coordination, compliance monitoring, statutory and regulatory compliance tracking and other duties assigned by the Compliance team.
The successful candidate will be expected to review assigned trackers and calendars regularly, update them using information received and follow up on outstanding or overdue updates. Any missing information, inconsistencies or possible compliance issues identified should be brought to the attention of the Compliance Manager or Compliance Officer for further assessment and action.
Key Responsibilities
Audit and Assurance Support
Maintain audit and assurance calendars, ensuring audits, assurance activities, milestones, deliverables and deadlines are properly recorded and updated.
Provide administrative and coordination assistance for internal, external, statutory, donor and other audit or assurance engagements.
Monitor audit schedules, information requests, milestones, deliverables and deadlines.
Keep audit files, reports, management letters and related documentation properly organised within the designated electronic filing system.
Assist with compiling audit progress updates and reports.
Provide administrative and logistical assistance during audit and assurance exercises.
Compliance Monitoring
Assist the Compliance Manager and Compliance Officer with compliance monitoring activities.
Participate in assigned compliance reviews and monitoring exercises.
Collect, organise and compile documents and information required for compliance reviews.
Carry out initial administrative checks of designated compliance folders to confirm that required documents have been uploaded, correctly named and properly arranged.
Flag missing documents, filing deficiencies and inconsistencies to the Compliance team.
Assist with recording observations, agreed actions and follow-up requirements under supervision.
Statutory and Regulatory Compliance
Maintain calendars and tracking tools covering statutory, tax and other regulatory obligations across AWF operations.
Track important filing dates, Tax Compliance Certificate expiry dates, registrations, licences and other recurring regulatory requirements.
Assist with preparing and sending reminders to relevant stakeholders before important deadlines.
Follow up with country offices and relevant departments regarding required submissions, updates and supporting documents.
Keep organised records of statutory and regulatory submissions.
Escalate overdue, incomplete or outstanding compliance matters to the Compliance Manager or Compliance Officer.
Meetings, Actions and Records
Provide administrative assistance for Compliance meetings and related engagements.
Prepare meeting documents and record minutes when required.
Maintain action trackers and follow up with responsible staff regarding agreed actions and deadlines.
Keep records of compliance meetings, decisions, action items and related correspondence in an organised manner.
Conduct basic comparisons between compliance trackers, submitted documentation and information recorded in relevant systems.
Highlight missing information, discrepancies, gaps or inconsistencies requiring further review.
Assist with reconciling and updating compliance records and trackers using verified information.
Additional Compliance Support
Assist the Compliance Manager and Compliance Officer with documentation and other administrative assignments.
Participate in assigned compliance, audit, assurance and monitoring activities.
Perform other duties relevant to the internship position as assigned.
Key Qualifications
Bachelor’s degree in Accounting, Finance, Business Administration, Audit, Risk Management, Governance or a related discipline.
At least one year of relevant experience in compliance, audit, assurance, risk management, internal controls, finance or administration is an added advantage.
Ability to effectively maintain trackers, calendars, records and supporting documentation.
Strong integrity, confidentiality, accountability and initiative.
Ability to work effectively within a team and demonstrate a willingness to learn.
Excellent attention to detail and accuracy.
Good organisational skills and ability to follow through on assigned tasks.
Strong analytical, communication and interpersonal skills.
Proficiency in Microsoft Office applications, particularly Microsoft Excel and Word.
