Concierge – Workplace Experience
Position Summary
The Concierge will serve as the first point of contact for employees, visitors, candidates, clients, and business partners, providing a professional and welcoming workplace experience. The role is part of the Facilities & Office Services and Workplace Experience team and will support the smooth day-to-day operation of the workplace.
The Concierge will be responsible for maintaining a welcoming reception area, managing visitor experiences, coordinating workplace services, supporting meetings and events, assisting employees and guests, and ensuring that the office remains organized, functional, and ready for daily operations.
This position goes beyond traditional reception duties. The successful candidate will anticipate the needs of employees and visitors, provide concierge-level assistance, support VIP and executive guests, coordinate workplace activities, and contribute to employee engagement initiatives.
The ideal candidate should have a hospitality-focused approach, excellent interpersonal skills, strong attention to detail, and the ability to work effectively in a fast-paced workplace. The role requires professionalism, initiative, good communication, adaptability, and a strong commitment to service excellence.
Key Responsibilities
1. Front Desk and Reception Services
The Concierge will manage front desk operations and ensure that every employee and visitor receives a professional and welcoming experience.
Key duties include:
Serving as the primary ambassador of the workplace.
Welcoming employees, visitors, candidates, clients, and vendors professionally and warmly.
Maintaining an organized and welcoming reception area.
Registering visitors through the visitor management system.
Verifying visitor identification and ensuring compliance with security procedures.
Issuing visitor badges and coordinating guest access.
Notifying hosts when visitors arrive, where necessary.
Responding to general workplace inquiries.
Managing reception email inboxes and workplace communication channels.
Maintaining accurate visitor records and daily reception logs.
2. Workplace Hospitality
The Concierge will help create a hospitality-driven workplace experience that reflects the company's culture and values.
Responsibilities include:
Anticipating employee and guest needs.
Providing concierge-level support for workplace-related requests.
Coordinating refreshments for meetings and visitors.
Ensuring executive guests receive a high-quality hospitality experience.
Maintaining hospitality stations and ensuring the lobby remains presentable.
Supporting employee celebrations and recognition activities.
Promoting an inclusive, welcoming, and professional workplace environment.
3. Employee Experience
The role will support activities designed to improve employee engagement and workplace satisfaction.
The Concierge will:
Welcome new employees and trainees on their first day.
Provide workplace orientation to new hires.
Prepare onboarding requirements and workspace essentials.
Coordinate welcome experiences with Recruitment.
Manage workplace announcements and communications.
Support employee recognition and engagement activities.
Gather feedback from employees regarding workplace services.
Provide guidance on workplace policies and available amenities.
4. Workplace Operations Support
The Concierge will help ensure that the workplace remains functional and prepared for daily business activities.
Responsibilities include:
Conducting workplace walkthroughs to check office readiness.
Checking that meeting rooms are clean, organized, and properly equipped.
Reporting maintenance and facility issues to the Facilities Engineer.
Coordinating minor workplace requests.
Assisting with workspace setup for new hires, transfers, and visitors.
Maintaining the lobby, collaboration areas, and common spaces.
5. Meeting and Event Support
The Concierge will provide logistical assistance for meetings, training sessions, and workplace events.
Duties include:
Reserving and preparing meeting rooms when required.
Coordinating room layouts and seating arrangements.
Arranging catering and refreshments.
Supporting hybrid meetings by checking that audiovisual equipment is functional.
Welcoming guests attending meetings and events.
Coordinating event registration and attendance.
Supporting town halls, internal engagement activities, and celebrations.
Assisting with executive visits and company-wide events.
6. Visitor and Candidate Experience
The Concierge will ensure that visitors and job candidates receive a positive and professional experience.
Responsibilities include:
Welcoming candidates and creating a positive first impression.
Escorting visitors when required.
Coordinating visitor parking and transportation assistance where applicable.
Supporting vendor and contractor check-ins.
Ensuring visitors comply with workplace policies.
Collecting visitor feedback to help improve future experiences.
7. Office Services Coordination
The role will support the delivery and coordination of various workplace services.
This includes:
Coordinating courier and mail services.
Managing incoming and outgoing deliveries.
Assisting with office supply requests.
Coordinating employee locker assignments.
Supporting lost-and-found management.
Managing workplace reservations where applicable.
8. Workplace Communication
The Concierge will act as a communication point for workplace-related information.
Key duties include:
Communicating workplace announcements.
Notifying employees about facility updates.
Supporting emergency communications.
Coordinating workplace signage and digital displays.
Responding to employee inquiries promptly and professionally.
Escalating concerns to the appropriate departments.
9. Vendor Coordination
The Concierge will support coordination with third-party vendors that provide workplace services, including:
Pantry vendors.
Catering vendors.
Office supply vendors.
Event vendors.
The role will help ensure that vendor-related workplace services are properly coordinated and that service concerns are escalated when necessary.
10. Building Management
The Concierge will monitor the quality of building-related services and escalate concerns as necessary to ensure workplace operations remain effective.
11. Health, Safety and Security Support
The Concierge will support workplace health, safety, and security initiatives.
Responsibilities include:
Ensuring visitors comply with security procedures.
Maintaining emergency contact information.
Supporting emergency evacuations.
Reporting unsafe workplace conditions.
Assisting during emergency drills.
Monitoring reception security procedures.
Coordinating with Security during incidents.
12. Administrative Support
The Concierge will provide administrative assistance to the Facilities and Workplace Experience team.
This includes:
Maintaining workplace records and logs.
Tracking service requests.
Assisting with purchase requests.
Preparing reports and spreadsheets.
Maintaining filing systems.
Supporting documentation, reporting, and audits.
13. Continuous Improvement
The Concierge will contribute to improving workplace services and the overall employee and visitor experience.
Responsibilities include:
Recommending improvements to workplace services.
Identifying opportunities to improve workplace efficiency.
Gathering employee and visitor feedback.
Participating in workplace innovation initiatives.
Supporting the implementation of hospitality best practices.

14. Workplace Events and Employee Engagement
The role will support employee-focused activities that promote engagement and workplace culture.
Key responsibilities include:
Planning and coordinating office events, celebrations, and recognition activities.
Supporting wellness programmes and community-building initiatives.
Coordinating logistics for town halls, training sessions, and leadership visits.
Managing event vendors, catering, and venue preparation for engagement activities.
Ensuring events are delivered within budget and according to company standards.

Qualifications
A Bachelor's degree in Hospitality Management, Hotel and Restaurant Management, Tourism, Business Administration, Office Administration, Communications, or a related field is preferred.
The candidate should have 3–5 years of experience in hospitality, concierge services, executive reception, customer service, office administration, or workplace experience.
Experience in a corporate, technology, hospitality, or premium customer service environment is highly preferred.
The role also requires strong proficiency in Google Workspace, AI systems, Microsoft Office, and workplace collaboration tools such as Slack.
Experience using visitor management systems and workplace platforms will be an advantage.
