Data Assistant (National Position) at AVSI Foundation
About this role
Programme Data & Information Officer
This role sits at the point where field information becomes programme action.
You’ll be responsible for keeping project data accurate, complete, secure, and usable — from the information collected from households and beneficiaries through to the datasets, dashboards, reports, and reviews used by programme teams to make decisions.
The position combines data management with field verification, documentation, reporting, and programme coordination.
Your data responsibilities
Accuracy is central to the role. You’ll validate and enter household and beneficiary information into the project database, following established SOPs and meeting required timelines.
You will also:
Cross-check, clean, and verify field data to maintain a target error rate of below 2%.
Ensure collected information contains all required variables and meets defined quality standards.
Keep programme trackers, dashboards, and datasets current.
Produce information and reports needed for monthly reviews, Data Quality Assessments (DQAs), SIMs, and supervision activities.
Prepare and summarize datasets for programme reviews, evaluations, and learning activities.
Carry out regular household visits to verify information and identify missing or inconsistent records.
Perform daily database backups and maintain organized electronic filing systems.
Keeping programme records audit-ready
You’ll work closely with Case Managers and Caseworkers to ensure OVC records and supporting documentation are properly filed and can be retrieved when needed.
This includes maintaining:
OVC records and data forms.
Distribution lists and participant registers.
Meeting minutes and supporting documentation.
Documentation required for audits, DQAs, and SIMs.
Both electronic and paper-based programme records.
You’ll also support caregivers with birth certificate registration for children through the E-Citizen portal and ensure the related invoices and documentation are appropriately retained in OVC files.
Turning data into decisions
The role goes beyond maintaining databases.
You’ll take the lead in monthly ward-level data review meetings, ensuring relevant information is accurately presented to Case Managers, the CSEA Officer, and M&E personnel.
The information you manage should help programme teams understand performance, identify gaps, and make evidence-based decisions.
You’ll also contribute to narrative and progress reports, ensuring submissions meet donor requirements and AVSI's internal standards.
Programme and field support
The position will have a wider programme-support function alongside its core data responsibilities.
You may be involved in:
Monitoring programme expenditure related to data activities and field operations and promptly flagging discrepancies.
Supporting representation with government officials, NGOs, implementing partners, and other stakeholders in coordination with the Country Representative.
Identifying emerging opportunities or recurring issues raised by beneficiaries and staff and providing useful inputs for programme improvement.
Supporting the rollout of the field feedback and complaints mechanism and ensuring issues are properly logged, followed up, and addressed with the MEAL Manager.
Assisting with supervision and performance support for field staff.
Coordinating assigned programme activities and helping teams remain aligned with AVSI procedures.
Providing operational guidance to staff where required.
Carrying out other assignments from the supervisor that contribute to Case Management and programme objectives.
Standards and compliance
All activities must be delivered in line with AVSI implementation guideline GP-DRG-20, relevant project SOPs, and applicable AVSI procedures.
You’ll be expected to maintain professionalism when dealing with government authorities, NGOs, partners, donors, colleagues, and programme participants, while also supporting adherence to AVSI professional standards within the field team.
What you need
A degree in Statistics or a related discipline from a recognized institution.
Good computer skills and practical experience working with information systems.
At least 3 years of experience in a comparable position.
Experience within a non-profit organization is an added advantage.
The person we’re looking for
You should be comfortable working with both numbers and people.
Strong interpersonal and communication skills are important, as is the ability to coordinate several teams, partners, and stakeholders while maintaining productive relationships with government entities, donors, and other organizations.
The strongest candidate will be detail-oriented enough to protect data quality, organized enough to keep programme records accessible, and confident enough to turn field information into practical insights for programme teams.
