About this role
KNEQAS Data Management and Documentation Support Job
KNEQAS is seeking a detail-oriented professional to support proficiency testing panel production and scheme operations. The role focuses on data management, documentation, participant records, distribution tracking, and the preparation of reports used in quality assurance activities.
The position supports HIV and TB external quality assessment activities, with other diagnostic schemes assigned by the supervisor.
What the Job Involves
The successful candidate will maintain production records, verify information from approved worksheets, track panel quantities, and ensure that batch and testing item identifiers remain traceable. They will also organize quality control documentation and report discrepancies to the production team.
Other duties include updating participant and facility records, preparing enrolment lists, tracking panel dispatches and deliveries, and maintaining inventory records. The officer will verify submitted results, follow up incomplete records, document corrections, and prepare summaries for technical review.
Accuracy is particularly important because participant identification errors, incomplete records, or incorrect dispatch information can affect the traceability of proficiency testing activities.
Qualifications and Experience
Applicants should hold a diploma in Biological Sciences or a related course. A bachelor's degree is an added advantage, while at least one year of data management experience in a busy laboratory is required.
Candidates should be comfortable using databases, spreadsheets, and electronic record systems. Familiarity with KNEQAS electronic proficiency testing systems is desirable. Knowledge of confidentiality, document control, data verification, and laboratory safety is also important.
How to Prepare for This Opportunity
When preparing your CV, highlight practical experience in laboratory data entry, maintaining registers, reconciling records, tracking samples or materials, and preparing reports. If you have used laboratory information systems or electronic quality assurance platforms, mention the systems you know and the tasks you performed with them.
Prepare examples that demonstrate how you identify errors, handle confidential information, and resolve incomplete records. These examples can help employers assess your accuracy and organizational skills.
Applicants should also understand that this is primarily a data and documentation support role. Technical staff remain responsible for interpreting results and making technical decisions, so your application should emphasize record accuracy, traceability, and reliable administrative support.
Understanding the Work Environment
Proficiency testing helps laboratories assess the reliability of their testing processes by comparing performance against established assessment criteria. Good documentation allows the responsible teams to trace records, investigate discrepancies, and support quality improvement.
For this reason, the successful candidate must be consistent, organized, and careful when handling information. The ability to meet deadlines while preserving an accurate audit trail will be especially valuable.
