Position Overview
We are looking for a reliable, organized, and motivated Entry-Level Administrative Operations & Office Support Professional to join our remote team. The successful candidate will provide administrative and operational assistance that supports the smooth running of everyday business activities.
Responsibilities will include coordinating schedules and meetings, preparing documents, maintaining digital records, updating trackers, supporting internal communication, organizing files, monitoring tasks, and assisting with general office operations. The role involves working with colleagues across various departments to keep information accurate, activities organized, and routine processes on track.
This position is suitable for individuals starting their careers who want to gain practical experience in administration, office support, and business operations.
Previous professional office experience is not required. Training and guidance will be provided to successful candidates.
Key Responsibilities
Administrative and Office Support
Provide routine administrative assistance to managers and team members.
Prepare, edit, format, and organize standard business documents.
Maintain shared folders, electronic files, and administrative records.
Assist with forms, documentation, and internal administrative requests.
Update spreadsheets, contact lists, trackers, and other office resources.
Keep digital information accurate, complete, and well organized.
Monitor shared administrative email accounts or communication channels when assigned.
Direct routine questions and requests to the relevant team members.
Support general clerical activities and administrative projects as required.
Operations Support
Assist departments with routine day-to-day operational activities.
Monitor assignments, deadlines, pending tasks, and action items.
Keep operational and project trackers updated.
Follow up on routine assignments internally when requested.
Help maintain standard operating procedures and internal process documentation.
Support smooth administrative handovers between departments.
Help ensure established workflows and routine procedures are followed.
Assist in compiling weekly or monthly operational updates.
Recognize routine administrative problems and escalate them through the appropriate channels.
Calendar and Meeting Coordination
Assist with arranging meetings, appointments, and other scheduled activities.
Coordinate calendars and identify suitable meeting times.
Send invitations, reminders, and relevant meeting materials.
Help prepare agendas and supporting documents.
Record basic meeting notes when required.
Compile and circulate action points following meetings.
Support the scheduling of virtual meetings, training activities, and internal events.
Documentation and Records Management
Develop and maintain orderly electronic filing systems.
Upload, name, categorize, and archive digital documents correctly.
Check records for completeness and basic accuracy.
Maintain document registers, indexes, and tracking records.
Retrieve authorized documents when requested.
Organize company templates, forms, policies, and reference materials.
Store documents in accordance with established company procedures.
Treat confidential information with appropriate care and discretion.
Communication and Team Coordination
Communicate clearly and professionally with colleagues through email, messaging platforms, and virtual meetings.
Respond to routine internal administrative questions.
Assist in preparing basic emails, notices, and other internal communications.
Coordinate information between departments when required.
Provide timely updates on the progress of assigned tasks.
Seek clarification when instructions or documentation are incomplete.
Maintain professional and responsive communication while working remotely.
Data and Reporting Support
Enter and update routine information in authorized company systems.
Maintain administrative databases and spreadsheets.
Review information for obvious errors, omissions, or inconsistencies.
Help collect and organize information required for routine reports.
Prepare basic reports and summaries using approved templates.
Carry out quality checks on administrative records.
Help ensure business information remains current and accurate.
Employee and Team Support
Provide administrative assistance during employee onboarding.
Organize onboarding documents and relevant internal resources.
Help arrange orientation sessions and training schedules.
Maintain authorized employee-related administrative records.
Assist new employees in locating internal documentation and resources.
Support additional internal administrative initiatives when assigned.
Required Qualifications
High school diploma, GED, or equivalent.
Basic computer skills.
Familiarity with email, internet browsers, and electronic documents.
Basic understanding of word-processing and spreadsheet software.
Strong organizational abilities.
