Senior Exports Supervisor

Position Overview

We are seeking an experienced and results-driven Senior Exports Supervisor to oversee the daily execution of export operations while ensuring operational efficiency, regulatory compliance, and exceptional customer service. The successful candidate will coordinate export documentation, customs clearance, transportation, and shipping activities, while leading a high-performing team to deliver seamless export services.

The role requires a strong understanding of international trade procedures, customs regulations, and logistics operations, coupled with excellent leadership, analytical, and stakeholder management skills.

Key Responsibilities

1. Export Operations Management

• Supervise day-to-day export operations to ensure timely and accurate execution of customer shipments.

• Coordinate export documentation, customs clearance, shipping, transportation, and warehouse activities.

• Monitor shipment progress and proactively resolve operational challenges to minimize delays.

• Ensure compliance with established operational procedures and service standards.

• Identify operational risks and escalate critical issues to management in a timely manner.

2. Customer Relationship Management

• Build and maintain strong relationships with existing customers by delivering exceptional service.

• Respond promptly to customer inquiries, concerns, and service requests within agreed service levels.

• Conduct regular customer service reviews to strengthen client satisfaction and retention.

• Support the implementation of tariff reviews and communicate service changes to customers.

• Collaborate with internal teams to ensure customer expectations are consistently met.

3. Regulatory Compliance

• Ensure all export activities comply with customs regulations, Kenya Revenue Authority (KRA) requirements, and company policies.

• Coordinate the preparation and submission of bond returns and other statutory documentation.

• Verify the accuracy and completeness of export documentation before shipment.

• Support internal and external audits by providing required documentation and operational records.

• Promote compliance with international trade regulations and organizational quality standards.

4. Reporting & Performance Monitoring

• Prepare accurate daily, weekly, and monthly operational reports.

• Monitor departmental Key Performance Indicators (KPIs) and productivity levels.

• Analyze operational data to identify trends, bottlenecks, and opportunities for improvement.

• Maintain accurate records of export activities, shipment performance, and customer transactions.

• Provide management with actionable insights to improve operational performance.

5. Business Development Support

• Support the identification and development of new business opportunities.

• Prepare quotations, operational proposals, and pricing information for prospective clients.

• Participate in customer meetings and business presentations where required.

• Support the onboarding and successful implementation of new customer accounts.

• Work closely with the sales and commercial teams to achieve business growth objectives.

6. Team Leadership & Performance Management

• Supervise, coach, and mentor the export operations team to achieve departmental objectives.

• Allocate daily workloads and monitor staff productivity and performance.

• Conduct regular performance discussions and provide constructive feedback.

• Identify training and development needs to strengthen team capability.

• Foster a collaborative, customer-focused, and high-performance work environment.

• Ensure adherence to company policies, operational procedures, and safety standards.

7. Continuous Improvement

• Identify opportunities to improve operational efficiency, productivity, and service delivery.

• Recommend and implement initiatives that reduce operational costs and streamline export processes.

• Support operational excellence and process improvement projects.

• Promote innovation and best practices across export operations.

• Perform additional duties as assigned in support of departmental and organizational objectives.

Qualifications

Applicants should possess:

• Bachelor's Degree in International Business, Logistics, Supply Chain Management, Business Administration, or a related field.

Professional qualifications in Customs Administration, Freight Forwarding, Supply Chain Management, or International Trade will be an added advantage.

Experience

The ideal candidate should have:

• Minimum four (4) years' experience in export operations, freight forwarding, or international logistics.

• At least three (3) years' experience in a supervisory or team leadership role.

• Proven experience managing export documentation, customs clearance, shipping, and customer service operations.

• Experience working within freight forwarding, logistics, shipping, or supply chain organizations is highly desirable.

Technical Skills

The successful candidate should demonstrate expertise in:

• Export operations and international trade procedures.

• Customs clearance and regulatory compliance.

• Kenya Revenue Authority (KRA) export procedures.

• Shipping, freight forwarding, and transportation coordination.

• Warehouse and inventory operations.

• Export documentation and statutory reporting.

• Operational reporting and KPI monitoring.

• Microsoft Office applications, particularly Excel, Word, and PowerPoint.

• Freight forwarding or logistics management systems will be an added advantage.
