KEY RESPONSIBILITIES
1. Accounts Payable Function
The role will be responsible for supporting the effective administration of the accounts payable function and ensuring that invoices, creditor accounts, and related financial transactions are processed accurately and within the required timelines.
Key responsibilities include:
Monitoring the EARO invoices mailbox and processing invoices on provision in accordance with established procedures.
Reviewing pending purchase orders on a quarterly basis to identify outstanding items and ensure appropriate follow-up.
Preparing monthly creditor reconciliations to confirm the accuracy of supplier balances and identify any outstanding or disputed items.
Liaising with vendors to facilitate the prompt clearance, resolution, or settlement of pending and disputed creditor items.
Working closely with the Finance Officer to identify and clear outstanding items appearing in the bank reconciliation.
Following up on unresolved financial items and supporting timely resolution to maintain accurate financial records.
Ensuring that accounts payable information and supporting documentation are appropriately maintained and available when required.
The role requires careful attention to financial records and timely communication with vendors and internal finance personnel to ensure that outstanding matters are addressed appropriately.
2. Cash and Advance Settlement Management
Support the effective management and settlement of cash requests, advances, and related financial transactions.
Responsibilities include:
Processing cash requests in accordance with established policies, procedures, and agreed turnaround times.
Coordinating with the onsite bank teller to reconcile uncollected cash amounts.
Following up on outstanding or uncollected amounts to support proper settlement and accounting.
Allocating balances relating to advances within the appropriate balance sheet accounts.
Ensuring that advance-related balances are properly accounted for and appropriately aged.
Reviewing the ageing of advance balances to support timely clearance and settlement.
Maintaining accurate records relating to cash requests, advances, and settlements.
Supporting the appropriate reconciliation of advance-related balance sheet accounts.
The position will also be responsible for supporting the corporate credit card process, including:
Managing the processing of corporate credit card expenses.
Booking corporate credit card expenses in the relevant expense reporting systems.
Ensuring that corporate card transactions are appropriately recorded and allocated.
Supporting reconciliation of relevant General Ledger accounts.
3. General Ledger and Inter-Office Payment Settlement
Support the accurate accounting and reconciliation of balance sheet accounts and inter-office payment transactions.
Key responsibilities include:
Performing account allocation for balance sheet accounts as required.
Reconciling balance sheet accounts to ensure that recorded balances are accurate and properly supported.
Investigating outstanding or unusual items identified during account reconciliation.
Supporting the resolution of reconciliation differences.
Participating in the operation of the inter-office payment settlement system.
Ensuring that inter-office payment transactions are appropriately recorded and settled.
Supporting accurate financial records through timely account allocation and reconciliation activities.
4. Document Management and Archiving
Maintain appropriate financial documentation and ensure that financial records can be easily tracked, retrieved, and reviewed when required.
Responsibilities include:
Maintaining records of documents that have been filed or removed using the appropriate tracking tool.
Ensuring that financial documents are filed correctly and systematically.
Checking that filed documents are legible and maintained in proper condition.
Ensuring that financial documentation remains organised and accessible.
Locating and retrieving information from financial files when requested by authorised internal or external users.
Providing relevant financial documents and information to authorised parties, including auditors and government agencies.
Supporting the proper maintenance and archiving of financial records in accordance with established requirements.
Accurate document management is essential to support financial reviews, audits, compliance requirements, and requests for financial information.
5. Budgeting, Reporting and Financial Analysis
Support finance planning, reporting, review, and analysis activities as assigned.
Key responsibilities include:
Participating in the preparation and review of budgets relating to operational costs.
Providing relevant financial information to support operational budgeting activities.
Participating in FFR review meetings within the Finance function.
Contributing relevant financial information and observations during finance review meetings.
Preparing financial analyses as assigned by the supervisor.
Supporting the preparation and review of financial information required for management and finance activities.
Providing accurate information and analysis to support financial review and decision-making.
The role requires the ability to work with financial information and contribute effectively to budgeting, reporting, and analysis activities under the direction of the supervisor.
6. Administrative Responsibilities
Provide administrative support to the organisation and contribute to activities that support effective workplace operations.
Responsibilities include:
Providing support in events and facilities management.
Assisting with event-related activities and facilities requirements as required.
Performing other administrative responsibilities that may be assigned from time to time.
Supporting the Finance function with administrative duties where required.
Participating in relevant Finance review meetings.
Participating in learning activities and other duties assigned by the supervisor.
Supporting the effective functioning of the Finance team through appropriate administrative and operational assistance.
The role requires flexibility and willingness to undertake additional responsibilities where necessary, particularly those assigned by the supervisor in support of Finance and organisational activities.
KNOWLEDGE, SKILLS AND EXPERIENCE
7. Academic and Professional Qualifications
The successful candidate should possess:
A degree in Accounting, Business Administration, or an equivalent qualification.
Alternatively, the candidate should have an equivalent professional qualification in accounting.
Knowledge of CPA or ACCA at Level 2 is required.
The academic and professional background should provide the candidate with an appropriate foundation in accounting, finance, and related financial management activities.
8. Communication Skills
The candidate should demonstrate:
Good communication skills in English.
Good written communication skills in English.
The ability to communicate financial and administrative information clearly and appropriately.
The ability to interact effectively with internal colleagues, vendors, auditors, government agencies, and other authorised stakeholders.
Strong communication is important for the effective management of creditor matters, financial reconciliations, document requests, and coordination with internal and external stakeholders.
