Administration and Finance Manager
Position Overview
Farsight Africa Group is looking for a practical and hands-on Administration and Finance Manager to oversee the company’s routine administrative, financial, and operational support activities. The position will handle essential finance processes, maintain accurate records, coordinate office administration, assist with payroll documentation, monitor expenses, and support compliance-related requirements.
The successful candidate will work across both administration and finance in a lean team environment, ensuring that payments, records, documentation, office operations, and support functions remain properly organised, accurate, and current.
Scope of Work
Finance Support and Record Keeping
Maintain up-to-date records of invoices, payments, receipts, expenses, petty cash, and other financial transactions.
Assist with basic bookkeeping, financial reconciliations, and proper filing of finance-related documents.
Prepare monthly finance summaries and information for management review.
Monitor project expenses and assist with tracking expenditure against approved budgets.
Process payment requests and verify that all required supporting documents are attached.
Liaise with external accountants, auditors, tax consultants, and other finance professionals when necessary.
Assist with payroll documentation and maintain schedules for staff and consultant payments.
Ensure contracts, invoices, receipts, statutory records, and other financial documents are properly maintained and filed.
Administration and Office Support
Coordinate daily office administration and provide general operational support.
Maintain accurate records for employees, consultants, suppliers, vendors, and other relevant parties.
Assist with procurement processes, including quotations, LPO documentation, and payment follow-ups.
Help coordinate meetings, travel arrangements, office supplies, schedules, and other administrative requirements.
Provide administrative support for HR activities, including onboarding paperwork, leave records, and staff timesheets.
Keep shared folders, office records, and administrative documentation organised and regularly updated.
Provide administrative assistance to management and project teams whenever required.
Compliance Support
Assist with preparing and compiling documentation required for tax, statutory, audit, and other compliance purposes.
Maintain and track relevant statutory records, including KRA, NHIF/SHIF, NSSF, PAYE, VAT, and other applicable obligations.
Ensure financial and administrative records are securely archived and easily accessible for audits and management reference.
Identify missing documents, delayed payments, or potential compliance concerns and bring them to management’s attention promptly.
Reporting Responsibilities
Prepare straightforward monthly reports covering administration and finance activities.
Maintain accurate trackers for invoices, payments, consultants, office expenditure, and statutory obligations.
Provide regular updates on outstanding documentation, pending payments, and unresolved administrative requirements.
Supply management with basic financial and administrative information as needed to support decision-making.
Qualifications and Skills
Bachelor’s degree in Finance, Accounting, Business Administration, Commerce, or a related field.
CPA qualification, ongoing CPA Part II studies, or relevant accounting training will be an added advantage.
At least 3–5 years of experience in finance support, administration, bookkeeping, office management, or a related role.
Experience within a consulting firm, NGO, development organisation, or project-based environment will be an advantage.
Practical understanding of basic accounting procedures, reconciliations, filing systems, and statutory documentation.
Strong organisational and record-keeping abilities with excellent attention to detail.
Ability to work independently and manage multiple responsibilities within a lean, fast-moving environment.
Strong communication, coordination, and follow-up skills.
High standards of integrity, confidentiality, and professionalism.
Good working knowledge of Microsoft Excel, Microsoft Word, Google Drive, and basic accounting or financial management tools.
