JOB PURPOSE
The Finance Assistant will handle finance and accounting tasks efficiently.
The role is to ensure the Institute maintains financial and legal integrity based on policies, procedures, and legal standards.They will help program teams follow donor rules, provide budget oversight for projects, and keep accurate financial records and supporting documents.
DUTIES AND RESPONSIBILITIES
Payments
Prepare payments for assigned grants following TISA policy and donor guidelines.
Share monthly administrative and salary allocation details and handle internal transfers and payments to suppliers.
Create and upload approved payments to the online banking platform.
Manage cash flow for all TISA accounts.
Post and reconcile financial transactions monthly.
Post all financial transactions accurately in the accounting system to follow accounting standards and organizational policies.
Ensure that the ledger matches the transactions reported to donors.
Perform monthly and year-end reconciliations of accruals and prepare necessary journals.
Monitor budgets and prepare financial reports.
Help prepare grant budgets, realignments, and extensions throughout the grant cycle, including final close-out.
Lead the implementation of annual project budgets and ensure that spending is within approved limits and donor requirements.
Prepare monthly grant financial reports and discuss them with the program team.
Analyze spending trends and provide insights to project leaders about areas where spending is too high or too low to help in decision-making.
Generate financial reports as agreed in the grant contract and oversee the process from review and signing to sending to the donor.
Follow up promptly on donor feedback and attend donor meetings as needed.
In consultation with the Head of Finance and Administration, prepare grant documents such as budget reviews, agreements, modifications, and related communications.
Ensure timely cash requests to avoid cash flow issues that might delay project activities.
Help compile annual budgets and quarterly reports for the board at least one week before the deadline as per TISA policies and the institutional and board calendar.
Support fiscal management for all project phases, including monthly financial reporting, payment processing, budgeting, audit, compliance, and training the project team and partners in financial management.
Audit and Compliance
Prepare various schedules for financial statements to support annual audits.
Ensure financial systems are in place and that accounting standards and procedures are followed according to accepted principles and organizational policies, as well as donor requirements.
Prepare close-out documents at the end of funding cycles in compliance with TISA policies and donor requirements.
With the Head of Finance and Administration, assess the capacity of local partners and build their understanding of TISA policies and donor compliance.
Ensure procurement processes follow TISA policies and donor requirements.
Coordinate audit tasks and respond to external auditors regarding transaction details.
If there are management or policy issues, refer them to the Head of Finance and Administration.
Record-Keeping and Filing
Maintain organized and updated financial records with an efficient filing system.
Support internal and external audits by providing necessary documentation.
REQUIRED SKILLS AND EXPERIENCE
A bachelor’s degree in accounting, finance, or a related field from a recognized university.
A fully qualified accountant with a CPA-K certification.
At least two years of relevant experience working in an NGO.
Experience with donor-based accounting.
Good knowledge of accounting and financial management.
Experience with ERP systems, especially Microsoft Dynamics 365, strong accounting knowledge, bookkeeping, forecasting, operations management, and proficiency in MS Office, particularly Excel.
Understanding of donor financial reporting requirements.
