About this role
Job Purpose
The successful candidate will provide administrative support that helps keep the company’s day-to-day activities organized, efficient, and responsive. The role involves coordinating office functions, supporting clients and employees, maintaining accurate records, and helping ensure smooth communication across the business.
Key Responsibilities
Coordinate and improve routine office procedures to support efficient daily operations.
Develop and maintain organized systems for filing, documentation, and record management.
Monitor office supplies and equipment, ensuring essential items such as printing materials and office merchandise are available when required.
Welcome clients and visitors and provide professional, helpful assistance throughout their interactions with the company.
Manage appointments, respond to general client questions, and direct enquiries to the appropriate team members.
Help maintain a professional, comfortable, and well-organized office environment.
Keep client information, property records, databases, and listings accurate and up to date.
Review records regularly to identify missing, outdated, or incorrect information and make the necessary updates.
Assist with recording and processing financial transactions, invoices, and receipts.
Coordinate with the finance team to support accurate and properly maintained financial documentation.
Keep familiar with the company’s software platforms, systems, and digital tools.
Support colleagues by providing guidance and basic training on relevant software and office technology.
Requirements and Skills
Previous experience in office administration, office coordination, or a comparable administrative position.
Comfortable operating telephone systems, computers, printers, and other standard office equipment.
Strong organizational and time-management abilities, with the capacity to manage competing priorities.
Clear and professional written and verbal communication skills.
High level of accuracy when entering information, maintaining records, and handling administrative data.
Basic understanding of accounting principles, along with the ability to work with figures and perform simple analysis.
Able to manage sensitive and confidential information responsibly and exercise appropriate discretion.
