About the Role
GiveDirectly is seeking a Human Resource Assistant to join its HR team. The successful candidate will support day-to-day human resource activities and serve as a link between employees and the HR department, helping to ensure employee requests and questions are handled efficiently.
This is an entry-level position suited to a recent graduate who wants to develop practical experience and build a career in Human Resources.
The position reports directly to the HR Manager.
Key Responsibilities
HR Administration and Clerical Support
Maintain and regularly update employee personnel files and HR records.
Ensure employee information is accurate, complete, confidential and securely maintained.
Prepare, scan, photocopy, file and distribute HR documents as required.
Prepare routine letters, correspondence, contracts and other HR-related documentation.
Handle incoming and outgoing HR correspondence.
Respond to routine employee questions and requests.
Track employee contract expiry dates and coordinate with the HR Associate regarding communication with relevant managers.
Recruitment and Onboarding
Support the publication of job vacancies and monitor applications received.
Coordinate interview schedules and communicate with candidates.
Prepare interview materials and other recruitment documentation.
Coordinate reference and background checks where required.
Ensure new employees provide all necessary documentation during onboarding.
Assist with setting up new employees in the relevant HR systems.
Prepare and issue exit documentation for departing employees, including certificates of service and P9 forms.
Employee Records and HR Systems
Maintain and update employee information within the HRIS and Google Drive.
Record personnel changes including new appointments, transfers, promotions and terminations.
Assist with periodic reviews of employee files to ensure records are complete and meet compliance requirements.
Maintain updated staff and beneficiary information that affects insurance records.
Employee Relations and Compliance
Ensure HR documentation is prepared, stored and maintained in line with organisational policies and applicable employment legislation.
Support HR audits by compiling and providing required documentation.
Assist the HR team with administrative activities related to employee compliance.
General HR and Office Support
Assist in organising employee engagement activities, training programmes and organisational events.
Provide additional HR and administrative support as assigned by the HR Manager.
Candidate Profile
In addition to the technical requirements of the position, GiveDirectly is looking for individuals who demonstrate the organisation's values and core competencies. Qualifications and Requirements
Bachelor's degree in Human Resources.
Basic knowledge of human resource principles, practices and employment legislation.
Strong interpersonal and communication abilities.
Good organisational skills and close attention to detail.
Familiarity with Google Workspace applications such as Google Docs, Sheets and Drive is an added advantage.
Willingness to learn and develop within a fast-paced HR environment.
Previous HR internship or attachment experience is an advantage but is not mandatory.
Recent graduates are strongly encouraged to apply.
