HR Intern
Job Purpose
We are looking for a detail-oriented, organized, and proactive HR Intern to support the Human Resources department with daily administrative and operational activities.
This internship will provide practical, hands-on experience in different areas of Human Resources, including recruitment, employee relations, HR documentation, onboarding, record management, reporting, and HR compliance.
The successful candidate will work closely with the HR team and gain valuable exposure to how HR processes are managed in a professional working environment.
Key Responsibilities
The HR Intern will assist the HR department with the following duties:
1. Recruitment Support
Assist in preparing and posting job advertisements on different recruitment platforms.
Help ensure job adverts contain accurate information about available positions.
Receive and organize applications from candidates.
Support the HR team in shortlisting suitable candidates.
Schedule and coordinate interviews between candidates and the interview panel.
Communicate interview arrangements to candidates when required.
Maintain accurate recruitment records throughout the hiring process.
Provide general administrative support during recruitment activities.
2. HR Documentation
The intern will assist with preparing and organizing important employee documents, including:
Employment contracts.
Confirmation letters.
Offer letters.
Notices and other HR correspondence.
Onboarding documents.
Induction materials.
Other employee-related letters as directed by the HR Manager.
The intern must handle all employee information carefully and maintain a high level of confidentiality when dealing with HR records.
3. Employee Support and HR Queries
Assist in receiving basic employee inquiries.
Direct employee questions to the HR Manager or the appropriate person.
Follow up on assigned HR-related matters when requested.
Help ensure employees receive timely information and support.
Maintain professional and respectful communication with employees at all times.
The HR Intern is not expected to make independent decisions on complex employee matters but should ensure that inquiries are directed to the appropriate HR representative.
4. Employee Onboarding
Support the HR team in preparing and organizing materials for new employees.
This may include:
Preparing offer letters and employment contracts.
Organizing onboarding documentation.
Preparing induction materials.
Ensuring required employee documents are collected and properly filed.
Supporting the HR team during employee induction activities.
Updating employee records after new hires join the organization.
The intern should help make the onboarding process organized and efficient for new employees.
5. HR Projects
The HR Intern will have an opportunity to participate in various HR projects and activities.
These may include:
Supporting the development and review of HR policies.
Assisting with preparation and updating of job descriptions.
Supporting HR audits.
Assisting with compliance-related activities.
Conducting basic HR research when required.
Organizing information needed for HR projects.
Supporting other Human Resources initiatives assigned by the HR Manager.
This will provide the intern with practical exposure to different areas of HR beyond routine administrative work.
6. HR Reports and Presentations
Assist the HR department with preparing different reports and presentations.
Responsibilities may include:
Collecting and organizing HR information.
Assisting in preparing weekly HR reports.
Supporting monthly HR reporting.
Assisting with quarterly HR reports.
Preparing basic HR summaries and presentations.
Checking information for accuracy before reports are submitted.
Maintaining organized records used to prepare HR reports.
Good attention to detail will be important when handling employee data and preparing reports.
7. Employee Records and HR Databases
The intern will assist in maintaining accurate and well-organized employee records.
This includes:
Filing employee documents correctly.
Updating employee records when necessary.
Maintaining HR databases.
Assisting with HRIS data entry and updates.
Ensuring employee information is properly organized.
Supporting the HR team in retrieving records when required.
Maintaining confidentiality of employee information.
The candidate should understand the importance of protecting personal and confidential employee information.
8. Performance Management Support
The HR Intern will also assist with activities related to employee performance management.
This may include:
Supporting the preparation of performance appraisal documentation.
Helping coordinate performance review activities.
Tracking completion of performance reviews.
Maintaining records of completed appraisals.
Following up on outstanding performance review documentation.
Assisting the HR team with related administrative tasks.
9. General HR Administration
The intern may also be required to provide general administrative support to the Human Resources department.
This may include:
Organizing HR documents and files.
Preparing meeting materials.
Taking or organizing notes when required.
Assisting with HR events and activities.
Supporting internal HR communications.
Completing other reasonable HR-related duties assigned by the HR Manager.
The successful candidate should be flexible and willing to learn different aspects of Human Resources.
Internship Details
Duration
3 months
The internship will provide the successful candidate with an opportunity to gain practical experience in a professional HR environment during the three-month period.
Remuneration
A monthly stipend will be provided.
Please note: This is an internship position and not a salaried employment position.
Minimum Qualifications
Candidates applying for this internship should meet the following requirements:
1. Education
Diploma or Degree in Human Resource Management.
A qualification in a related field may also be considered.
Candidates should demonstrate an interest in developing a career in Human Resources.
2. Knowledge of HR Practices
The ideal candidate should have basic knowledge of:
Kenyan labor laws.
Human Resource Management principles.
Recruitment and selection processes.
Employee relations.
HR documentation.
Employee onboarding.
General HR best practices.
Workplace policies and procedures.
A willingness to learn and develop practical HR skills is highly valued.
3. Computer Skills
The candidate should have strong computer skills and be comfortable using:
Microsoft Word
Microsoft Excel
Microsoft PowerPoint
Email and other standard office applications.
HR Information Systems (HRIS).
The ability to work with spreadsheets, prepare documents, organize information, and create basic presentations will be an advantage.
4. Communication Skills
Excellent written and verbal communication skills are required.
The successful candidate should be able to:
Communicate professionally with employees and candidates.
Write clear and professional emails and HR documents.
Listen carefully and understand instructions.
Communicate information accurately.
Maintain professionalism when handling employee inquiries.
Work effectively with different members of the organization.
