This is a hands-on position suited to an organized and analytical professional with a strong focus on accuracy, confidentiality, and compliance. The role will be responsible for supporting effective payroll operations, maintaining dependable HR data, and providing insights that support informed decision-making across the organization.
Key Responsibilities
Manage the complete payroll cycle for full-time and casual employees, ensuring payments are processed accurately and on schedule.
Maintain and regularly update HR master data, ensuring information remains complete, accurate, and consistent with company policies.
Promote consistent and effective use of HR systems and tools throughout the employee lifecycle.
Review payroll data and trends and prepare insightful reports and variance explanations for HR Business Partners, Line Managers, and the Executive Committee.
Support employee contract administration, including renewals, deadline tracking, and proper documentation.
Maintain and protect complete employee records in both physical and electronic formats while ensuring privacy and appropriate access.
Compile, consolidate, and circulate monthly HR reports and analytics to support management decision-making.
Coordinate HR projects and ensure payroll-related changes are communicated effectively and implemented on time.
Support statutory compliance activities, audits, and required reports in line with legal and organizational requirements.
Coordinate employee separation processes and ensure all necessary payroll documentation is submitted promptly.
Review statutory deductions and payroll deduction information to ensure accuracy and compliance.
Prepare important payroll documentation, including deduction letters and salary review communications.
Provide accurate employee attendance, bonus, and personal leave records to facilitate payroll processing.
Administer employee benefits, including insurance programs, and ensure smooth enrollment and service delivery.
Qualifications and Requirements
Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
At least 3 years of relevant experience in HR operations, payroll, HR master data management, or a related area. Experience in manufacturing or agribusiness is an added advantage.
Good understanding of Kenyan employment laws and statutory deductions.
Strong attention to detail with a high level of confidentiality.
Proficiency in HR systems; experience with ERPNext is an added advantage.
Excellent communication skills and proficiency in data analysis tools.
