Position Overview
Reporting to the ICT & Database Assistant, the ICT & Database Intern will provide first-level technical support while assisting with routine database management, Microsoft 365 administration, information security, ICT asset management, documentation, and digital workplace activities.
The internship provides practical exposure to ICT operations while supporting reliable day-to-day service delivery within UAF-Africa’s virtual working environment. Complex technical problems and advanced systems administration tasks will be referred to the ICT & Database Assistant.
Duties and Responsibilities
ICT User Support
Handle first-line user requests such as password resets, access problems, application assistance, and routine technical troubleshooting.
Escalate unresolved or complex issues to the ICT & Database Assistant.
Assist in setting up, configuring, and maintaining laptops, mobile devices, printers, and other ICT equipment.
Provide basic troubleshooting for hardware, software, operating systems, and connectivity issues.
Support virtual meetings, webinars, and other online organizational activities when required.
Record, categorize, monitor, and follow up on support requests through the helpdesk system.
Microsoft 365 and Digital Workplace Support
Assist users with Microsoft 365 applications such as Outlook, Teams, SharePoint, OneDrive, and Forms.
Support routine administration of user accounts, permissions, and access rights under supervision.
Assist with staff onboarding and offboarding, including preparing equipment, completing account checklists, and maintaining access records.
Help organize and maintain documents and records within approved digital storage systems.
Database and Information Management Support
Assist with entering and updating data, validating records, and conducting routine data-quality checks.
Support data-cleaning activities and identify incomplete, duplicate, or inconsistent records for further review.
Assist in producing approved database reports, dashboards, and data extracts.
Support user access administration and respond to routine database-related user queries.
Participate in testing database improvements and document issues, test outcomes, and recommended follow-up actions.
ICT Asset Management
Keep ICT equipment inventories and asset records accurate and up to date.
Assist with the issuance, return, transfer, and verification of ICT equipment and supporting documentation.
Participate in periodic physical checks of ICT assets and follow up on discrepancies identified.
Carry out minor equipment maintenance and assist in coordinating servicing requirements under supervision.
Cybersecurity and Compliance Support
Assist with routine checks of antivirus and endpoint protection status and escalate any concerns identified.
Participate in cybersecurity awareness initiatives and encourage secure use of organizational systems and information.
Promptly report suspected phishing attempts, unauthorized access, data-security issues, and other ICT incidents.
Support compliance with ICT policies, data-protection requirements, access controls, and approved procedures.
Reporting, Documentation and Continuous Improvement
Maintain ICT service records and assist with periodic summaries covering support tickets, recurring problems, asset movements, and other agreed ICT performance indicators.
Prepare and update user guides, induction materials, knowledge articles, and standard operating procedures for review.
Use approved AI-assisted tools responsibly to support routine operations, documentation, and productivity.
Participate in testing and introducing new ICT tools, process improvements, and digital solutions.
Research emerging technologies and provide practical observations that could improve operational efficiency.
Undertake other relevant duties assigned by the supervisor in line with the objectives of the internship.
Qualifications
Degree in Computer Science, Information Technology, Information Systems, Software Engineering, or a related discipline.
At least one year of relevant experience is an added advantage.
Introductory training or certification in Microsoft 365, databases, networking, or cybersecurity is also an advantage.
Skills and Experience
Basic knowledge of Windows and macOS operating environments.
Familiarity with Microsoft 365 applications, including Outlook, Teams, SharePoint, and OneDrive.
Basic understanding of database concepts, data quality, and responsible information management.
Basic knowledge of computer hardware, software installation, and troubleshooting.
Awareness of cybersecurity, confidentiality, and data-protection principles.
Knowledge of approved AI-assisted productivity tools or willingness to learn them.
Strong organizational skills and attention to detail, with the ability to manage competing priorities.
Good written and verbal communication skills with a service-oriented approach.
Ability to work independently, demonstrate initiative, learn quickly, and escalate issues appropriately.
Experience working in a virtual or multicultural environment is an added advantage.
