Legal Assistant
Location: Orlando, Florida
Shutts & Bowen LLP, a prominent Florida law firm, is seeking a Legal Assistant to provide comprehensive administrative and legal support to its Orlando team. The successful candidate will be organized, dependable, detail-oriented, and capable of handling multiple responsibilities while maintaining a high standard of client service and confidentiality.
Key Responsibilities
Prepare and review real estate agreements, leases, and other legal documents.
Support attorneys with closing preparations by collecting and organizing required documentation.
Draft, format, edit, proofread, and spell-check documents in accordance with the firm’s established procedures.
Manage attorney calendars and coordinate appointments and scheduling requirements.
Handle monthly client billing, including electronic and paper billing processes, and review preliminary bills for accuracy and completeness.
Make necessary client, matter, and billing narrative adjustments.
Prepare attorney expense reports and process vendor invoices or payment requests using the appropriate client and matter information.
Open new matters and initiate required client conflict checks.
Establish, organize, and maintain attorney work files and electronic records, including routine filing.
Organize files and prepare materials for off-site storage.
Print, compile, and organize documents received in various formats, including email messages and attachments.
Answer incoming telephone calls, accurately record messages, and relay information as requested.
Coordinate virtual meetings and video conferences using platforms such as Zoom and Microsoft Teams.
Look for ways to improve efficiency, productivity, and collaboration within the team.
Protect confidential firm and client information, documents, records, and files at all times.
Undertake additional assignments and projects as required.
Required Skills and Abilities
Ability to respond professionally to client inquiries under the guidance of attorneys.
Strong ability to identify client concerns, address issues promptly, and follow up when necessary.
Comfortable working independently while also contributing effectively within a collaborative team.
Commitment to producing accurate, high-quality work.
Excellent attention to detail across all assignments.
Strong ability to organize tasks and prioritize competing responsibilities.
Adaptable and cooperative when responsibilities, procedures, or priorities change.

Willingness to take initiative and contribute beyond routine duties.
Education and Experience
Previous experience in a professional services environment or executive assistant role is highly desirable.
Experience with client billing, particularly electronic billing systems, is preferred.
Ability to remain flexible and effectively manage changing assignments and deadlines.
Working knowledge of Microsoft Office applications.
Strong typing ability and excellent command of grammar, spelling, punctuation, and written communication.
Strong organizational and analytical skills with careful attention to detail.
Willingness to work overtime when business needs require it.
Physical Requirements
Ability to perform the essential duties of the position with or without reasonable accommodation.
Ability to sit and work at a computer for extended periods.
Occasional standing, walking, and movement throughout the office.
May occasionally be required to lift or move items weighing up to 10 pounds.
