Export Logistics Specialist
About the Role
The Export Logistics Specialist will oversee the complete export process, ensuring products move from the organization’s facilities to international vendors safely, efficiently, on schedule and in accordance with applicable regulations.
The position will be responsible for export planning, coordination, documentation, compliance and communication with internal and external stakeholders.
Responsibilities
Export Operations and Coordination
Manage the complete export cycle, from order placement through final delivery.
Coordinate with production, procurement and warehouse teams to ensure orders are prepared accurately and on time.
Work with freight forwarders, transport carriers and third-party logistics providers to arrange shipments.
Monitor cargo movements, follow up on shipments and address delays or logistical challenges.
Documentation and Compliance
Prepare, verify and maintain export documents such as commercial invoices, packing lists, bills of lading, certificates of origin and export permits.
Ensure export activities comply with international trade requirements, customs rules, safety standards and company policies.
Maintain organized shipment records to support audits and reporting.
Keep informed about changes in customs procedures, import and export regulations and relevant trade agreements.
Customer and Stakeholder Management
Serve as the main contact for customers seeking information about export logistics.
Provide customers with timely updates regarding orders and shipment progress.
Address complaints, shipping challenges and documentation discrepancies promptly.
Develop and maintain effective working relationships with shipping agents, port authorities and regulatory bodies.
Performance Management
Negotiate freight rates and shipping conditions with carriers and freight forwarding partners to achieve cost efficiency.
Review export logistics performance and identify opportunities to improve processes, efficiency and costs.
Reconditioning
Coordinate container reconditioning activities when overseas authorities identify compliance-related issues.
Ensure reconditioning activities are completed according to approved SOPs and required documentation procedures before products are released to buyers.
Maintain regular communication with third-party providers responsible for sterilization or product rework.
Supply Chain Traceability
Ensure exported products have documented and verifiable origins throughout the supply chain.
Collaborate with sourcing and quality teams to establish effective end-to-end product traceability systems.
Keep export records, certifications and inspection documents complete and ready for regulatory or audit requirements.
Cost Efficiency
Monitor freight charges, customs duties and tariffs to ensure spending remains within budget.
Identify ways to lower costs associated with transportation, warehousing and cargo handling.
Improve container utilization, minimize demurrage and detention expenses, and support efficient route planning.
Regularly assess freight expenditure and recommend cost-saving measures while maintaining required quality and delivery timelines.

Qualifications and Requirements
At least 5 years of experience in supply chain management, including a minimum of 3 years specifically focused on exports.
Experience using export management platforms and shipment tracking tools.
Strong ability to create and use complex Google Sheets formulas and functions for analysis and reporting.
Fluency in English is required.
Working knowledge of Swahili is an advantage.
Strong planning, coordination and organizational skills.
Excellent communication and stakeholder coordination abilities.
Analytical approach to cost forecasting and performance monitoring.
Ability to handle several priorities simultaneously and perform effectively under pressure.
