Enterprise Systems and IT Manager
Job Purpose
The role is responsible for ensuring reliable enterprise systems, IT services, cybersecurity, and technology infrastructure across the Group. A major focus will be on maximizing the value of ERPNext, improving business processes, strengthening technology controls, and delivering practical digital solutions across Kenya, Rwanda, and Tanzania.
Key Responsibilities
Enterprise Systems and ERPNext
Oversee the daily administration, stability, maintenance, and user support of ERPNext and other designated business applications.
Identify opportunities to use ERPNext to eliminate unnecessary manual processes, strengthen controls, and improve operational and financial decision-making.
Assess existing ERPNext functionality, identify areas that are not being fully utilized, and develop a practical roadmap for future improvements.
Review existing business processes with process owners and recommend better approaches before introducing automation or system changes.
Develop and test new solutions through pilots, measure their impact, and roll out successful improvements across relevant countries and departments.
Establish structured procedures for handling system issues, service requests, and change requests, including prioritization, testing, approvals, documentation, and controlled releases.
Work with business process owners and Finance Directors in Kenya and Rwanda to convert operational and accounting requirements into effective ERPNext enhancements.
Improve access controls, segregation of duties, workflows, master-data governance, and audit trails within enterprise systems.
Maintain a prioritized ERPNext development backlog that balances business value, urgency, risk, available resources, and organizational impact.
Work alongside the Strategic Projects Office on cross-functional ERPNext and technology projects, ensuring clear objectives, timelines, responsibilities, and user adoption.
Collaborate with Internal Audit to address system-control weaknesses, access issues, segregation-of-duty concerns, and audit findings.
Coordinate system integrations involving Aqua, Snowflake, Power BI, and other relevant platforms while maintaining clear ownership of data and systems.
Reduce unnecessary spreadsheet use, duplicate data entry, and manual workarounds by implementing controlled ERPNext solutions where appropriate.
IT Operations and Infrastructure
Maintain dependable networks, internet connectivity, devices, endpoints, Microsoft 365 services, and other core IT infrastructure across operational locations.
Establish service standards for IT incidents and requests and address recurring problems by identifying and resolving their underlying causes.
Keep up-to-date records of hardware, software, licenses, warranties, users, privileged accounts, and important technology suppliers.
Standardize processes for device configuration, employee onboarding, transfers, and offboarding, including access removal and company asset recovery.
Coordinate IT support services across Kenya, Rwanda, and Tanzania, including regular support at operational locations such as Roo Farm.
Manage technology suppliers, contracts, renewals, licenses, and related expenditure within approved budgets and procurement procedures.
Cybersecurity, Risk and Business Continuity
Implement a practical cybersecurity program that reflects the Group's risk profile and operating environment.
Strengthen identity management, multi-factor authentication, endpoint security, system patching, secure configurations, and privileged-access controls.
Coordinate the response to cybersecurity incidents, including escalation, containment, evidence preservation, investigation, lessons learned, and corrective measures.
Maintain reliable backup, recovery, and disaster-recovery capabilities and organize regular tests to confirm their effectiveness.
Conduct periodic access reviews, vulnerability follow-ups, phishing awareness activities, and targeted cybersecurity training for users.
Provide evidence, risk updates, and remediation progress to internal and external auditors, insurers, and the Audit & Risk Committee.
Leadership, Governance and Business Partnership
Lead and develop Systems and IT personnel while establishing clear responsibilities, priorities, and service expectations.
Develop straightforward IT policies, procedures, and documentation that can be consistently implemented across the organization.
Work closely with Country Managing Directors, Farm Directors, Finance Directors, the Strategic Projects Office, Internal Audit, and other functional leaders when establishing technology priorities.
Ensure business teams take ownership of their requirements, process decisions, system testing, and adoption of implemented solutions.
Prepare concise monthly reports covering system performance, IT service levels, cybersecurity risks, incidents, budgets, improvement backlogs, and key actions.
Support the development of the systems, IT, and cybersecurity function in preparation for its transition into the future Group Digital and Technology leadership structure.
Build support for technology improvements by clearly communicating their benefits, addressing adoption challenges, and ensuring implemented changes become part of normal business operations.
Performance Indicators
ERPNext and essential IT services remain reliable while the volume and business impact of system improvements continue to grow.
Resources and capacity are appropriately focused on ERPNext and enterprise-system development while significant cybersecurity risks receive the necessary attention.
System improvements produce measurable results in areas such as efficiency, process control, productivity, data accuracy, and decision-making.
Successful technology pilots are developed into standardized solutions that can be adopted across the Group.
The ERPNext and systems improvement backlog remains transparent, prioritized, and managed through documented change procedures.
Users, devices, licenses, vendors, interfaces, systems, and privileged accounts are properly recorded and controlled.
Cybersecurity, access management, backup, and recovery controls demonstrate continuous improvement and are regularly tested.
Recurring IT problems and unresolved support requests decline, with clearer responsibility and escalation procedures.
Country operations follow consistent Group technology standards while remaining accountable for local implementation and results.
Significant systems and cybersecurity risks are identified early, assigned to responsible owners, and followed through to resolution.
Qualifications and Experience
7 to 10 years of relevant experience covering enterprise systems, IT operations, and cybersecurity, with at least three years in a team leadership or multi-site service management capacity.
Strong hands-on knowledge of ERP platforms, with practical ERPNext experience being highly desirable.
Good understanding of Microsoft 365, identity and access management, networking, endpoint management, backup systems, cloud technologies, and cybersecurity controls.
Experience working within multi-country, multi-site, or operational environments such as agriculture, aquaculture, food production, FMCG, manufacturing, logistics, or retail.
Demonstrated ability to improve IT reliability, strengthen controls, and deliver practical technology solutions rather than focusing solely on strategies and policies.
Proven ability to identify technology opportunities, gain stakeholder support, test new approaches, and turn successful ideas into sustainable improvements.
Strong commercial awareness with experience managing technology suppliers, licenses, budgets, and projects.
Excellent communication skills and the ability to work effectively with technical teams, operational employees, and senior management.
Willingness to regularly visit operational sites and travel between the Group's countries.
