Marketing Assistant
Purpose of the Position
We are looking for a reliable, organized, and proactive Marketing Assistant to support the marketing team with day-to-day activities.
The successful candidate will assist with the planning and execution of marketing campaigns, product launches, brand activations, promotional activities, events, market research, and administrative tasks.
This role is suitable for someone who enjoys working with people, coordinating activities, keeping records, and supporting marketing projects from planning through to completion.
The Marketing Assistant will work closely with the marketing team, retailers, distributors, brand ambassadors, promoters, suppliers, and other relevant stakeholders.
Key Duties and Responsibilities
1. Brand Activations and Events
The Marketing Assistant will provide practical support during brand activations, promotional campaigns, and events.
Key responsibilities include:
Coordinating Brand Ambassadors and promoters during marketing activities.
Helping prepare activation materials, promotional items, and product samples.
Supporting event setup and ensuring required materials are available.
Assisting with event logistics before and during activations.
Recording attendance and maintaining activation records.
Collecting photos and feedback from marketing activities.
Following up on information required after an activation.
Compiling activation reports and submitting them to the relevant team members.
Supporting the marketing team with other event-related activities as required.
The successful candidate should be comfortable working in different locations and interacting with customers, promoters, retailers, and other stakeholders during activations.
2. Retail and Distributor Support
The Marketing Assistant will help ensure that marketing activities are properly implemented across retail and distribution channels.
Responsibilities will include:
Supporting product launches and promotional rollouts.
Assisting with the distribution of product samples to retailers and distributors.
Coordinating the delivery of promotional materials where required.
Maintaining accurate records of retailer promotional activities.
Following up with retailers and distributors regarding marketing support requests.
Communicating relevant requests to the appropriate marketing team members.
Supporting promotional activities at retail and distributor locations.
Keeping records of completed promotional activities and outstanding requests.
Good communication and follow-up skills will be important when dealing with retailers and distributors.
3. Inventory and Marketing Asset Management
The Marketing Assistant will help keep track of marketing materials and ensure that they are available when needed.
This will include managing items such as:
Point-of-sale materials (POSM).
Branded merchandise.
Staff and promoter uniforms.
Product samples.
Activation materials.
Promotional items.
Other marketing assets.
The candidate will be responsible for:
Tracking the quantity of marketing materials available.
Maintaining an accurate inventory register.
Coordinating the storage of marketing materials.
Supporting the distribution of materials to activation teams and other locations.
Conducting periodic stock counts.
Monitoring how materials are being used.
Identifying items that need to be replenished.
Reporting shortages or damaged materials to the relevant team member.
Helping ensure marketing materials are properly stored and accounted for.
Strong organizational skills and attention to detail will be important in this area.
4. Market Research
The Marketing Assistant will support the marketing team in gathering useful information about the market, competitors, products, and consumers.
Responsibilities may include:
Collecting information about product prices.
Monitoring promotional activities in the market.
Gathering information about new products.
Observing market trends and changes.
Supporting competitor and market research activities.
Assisting with consumer surveys.
Supporting focus group activities.
Recording and organizing research findings.
Sharing relevant market information with the marketing team.
The candidate should be comfortable collecting information from different sources and organizing it in a clear and useful format.
5. Marketing Administration
The Marketing Assistant will also provide general administrative support to ensure that marketing activities are properly planned, documented, and followed up.
Responsibilities will include:
Maintaining marketing calendars.
Updating marketing trackers.
Organizing marketing files and records.
Maintaining departmental filing systems.
Preparing and organizing marketing documents.
Maintaining purchase requisitions.
Organizing supplier documentation.
Maintaining marketing expense trackers.
Organizing departmental correspondence.
Supporting the preparation of reports and presentations.
Following up on outstanding administrative tasks.
The candidate should be able to manage multiple tasks while maintaining accurate and organized records.
6. Marketing Calendar and Activity Tracking
The Marketing Assistant will help the team stay organized by maintaining accurate activity schedules and trackers.
This may include:
Updating the marketing calendar with upcoming activities.
Recording completed marketing activities.
Tracking activation dates and locations.
Recording responsible team members or external partners.
Following up on pending activities.
Highlighting important deadlines.
Ensuring relevant information is updated regularly.
Good time-management skills will help ensure that marketing activities are completed according to schedule.
7. Supplier and Documentation Support
The role will involve assisting with basic supplier and purchasing documentation.
The successful candidate may be required to:
Maintain supplier records.
Organize quotations and supporting documents.
Maintain purchase requisitions.
File supplier correspondence.
Track marketing-related purchases.
Assist with following up on outstanding supplier documentation.
Ensure marketing records are properly filed and easy to retrieve.
Accuracy and attention to detail will be essential when handling financial and supplier-related documents.
Qualifications and Skills
1. Academic Qualifications
Applicants should have:
A Diploma in Marketing, Communications, Business Administration, or a related field.
A relevant degree or additional marketing qualification will be an added advantage.
2. Work Experience
Candidates should have:
1–2 years of experience in marketing, administration, customer service, sales support, or another customer-facing role.
Practical experience supporting marketing campaigns, events, activations, or promotional activities will be an advantage.
Experience working with retailers, distributors, customers, suppliers, or brand promoters will also be beneficial.
Candidates should demonstrate an understanding of basic marketing activities and be comfortable working in a busy environment.
3. Microsoft Office Skills
The successful candidate should be proficient in Microsoft Office applications, particularly:
Microsoft Excel – for trackers, inventory records, reports, and basic data management.
Microsoft PowerPoint – for presentations and marketing materials.
Microsoft Word – for documents, reports, and correspondence.
Good computer skills will be important because much of the role involves maintaining records, preparing reports, and organizing marketing information.
4. Digital Marketing Knowledge
Knowledge of social media platforms and digital marketing tools will be an added advantage.
Familiarity with platforms such as social media channels, content management tools, analytics platforms, or other digital marketing applications will be beneficial.
The candidate does not necessarily need to be an expert in digital marketing but should have an interest in understanding how digital channels support marketing campaigns.
