Operations Coordinator
Main Purpose of the Role
The Operations Coordinator will oversee and continuously improve the company’s daily operational activities, including logistics, documentation, warehousing, and supply-chain processes. The role is responsible for ensuring operations remain efficient, compliant, cost-effective, and aligned with company quality standards and applicable local regulations.
Key Responsibilities
Coordinate and supervise daily operational activities, including shipment handling, documentation, and warehouse or distribution processes.
Ensure shipment documents are complete, accurate, and compliant with regulations in the destination country.
Monitor local operations to ensure agreed service levels, cost objectives, and quality standards are achieved.
Implement standard operating procedures provided by management and make necessary adjustments to meet local legal or market requirements.
Ensure compliance with applicable local regulations, customs processes, and international trade and shipping documentation requirements, including Incoterms, certificates of origin, and import/export licences.
Maintain complete and current operational records in the company’s internal databases and ERP systems.
Coordinate local employees, contractors, and third-party providers such as carriers, freight forwarders, warehouses, and customs agents.
Supervise warehouse activities including receiving, storage, bagging, repacking, mixing where applicable, inventory accuracy, and dispatch preparation.
Monitor inventory shrinkage and ensure compliance with Health, Safety, and Environment (HSE) requirements and safety procedures.
Coordinate clearing agents, customs procedures at ports and borders, and efforts to optimise transit logistics.
Ensure local production and warehouse equipment receives required maintenance and servicing and remains operationally ready.
Track operational performance and provide regular updates to the direct manager and dotted-line or functional manager.
Review operational data and recommend measures to improve efficiency, lower costs, and enhance customer satisfaction.
Identify operational challenges proactively and support their timely resolution while keeping relevant stakeholders informed.
Escalate unclear matters, significant problems, and issues outside the scope of individual authority to the appropriate manager.
Share knowledge of local market conditions and operational experience with colleagues to support more effective regional practices.
Perform other reasonable duties assigned by management, including the Country Manager, dotted-line or functional manager, and other authorised management representatives.
