Position Summary
The Executive Office Coordinator will provide high-level administrative and operational support to the Executive by ensuring effective schedule management, coordinating business reviews, monitoring action items, and improving communication within the Executive Office. The role also supports informed decision-making by maintaining organized reports, performance tracking tools, and confidential documentation.
Salary Range: KSh 45,000 – 60,000 per month.
Key Responsibilities
Manage the Executive's calendar to safeguard time for strategic priorities while ensuring meetings, business reviews, and other engagements are scheduled and conducted efficiently.
Review reports submitted by departmental leaders to confirm accuracy, completeness, supporting documentation, assigned responsibilities, and progress on action items.
Maintain and update an action-tracking system to monitor tasks assigned to department heads and other managers, ensuring timely completion.
Coordinate the resolution of priority issues affecting the Executive Office and follow up on outstanding matters.
Record key discussions and decisions from management meetings and translate them into actionable tasks with clearly assigned owners.
Prepare comprehensive weekly and monthly executive reports by consolidating performance information, departmental scorecards, key performance indicators (KPIs), and risk monitoring data.
Promote effective communication, maintain strict confidentiality of sensitive information, and ensure proper document management within the Executive Office.
Qualifications and Experience
Applicants should possess:
A minimum of five years' experience providing executive or administrative support to senior leaders, preferably in industries such as petroleum, energy, logistics, manufacturing, finance, trading, FMCG, or other multi-branch organizations.
Advanced proficiency in Microsoft Office applications, particularly Outlook, Excel, Word, and PowerPoint. Experience using ERP or CRM reporting systems will be an added advantage.
Practical experience preparing executive correspondence, maintaining confidential records, documenting meeting minutes, producing management reports, and tracking organizational action items.
Familiarity with Balanced Scorecards (BSC), Key Performance Indicators (KPIs), sales performance reporting, credit and collections monitoring, supply chain reporting, or management accounting reports is desirable.
Educational Requirements
Bachelor's degree in Business Administration or a closely related field from a recognized institution.
