Responsibilities
Support Project Implementation
Assist in carrying out the project site work plans and scheduled activities under the MPA Programme.
Provide support in arranging and coordinating meetings involving project stakeholders.
Assist with the preparation and organization required to ensure that planned project activities are followed up appropriately.
Support the implementation of activities according to established project plans and requirements.
Coordination, Procurement and Financial Follow-Up
Support coordination with the IOM Somalia Office in Nairobi on matters related to project implementation.
Follow up on procurement and financial procedures associated with the project in accordance with IOM rules, regulations, and established processes.
Maintain appropriate records relating to the financial, procurement, and logistical components of project activities.
Track procurement processes and financial matters to support timely implementation.
Keep relevant documentation updated and properly organized.
Follow up on pending logistical and administrative requirements connected to project activities.
Bring any issues affecting procurement, finance, or logistics to the attention of the relevant supervisor when necessary.
Field Visits and Project Monitoring
Participate in regular field visits to support the monitoring of project implementation.
Follow up on the progress of project activities during field visits.
Identify urgent matters or challenges affecting implementation and bring them to the attention of the Project Manager, National Officer, or Head of Sub-Office for appropriate guidance.
Support the identification of corrective measures where implementation challenges arise.
Document positive practices and successful approaches identified during field activities.
Maintain records of relevant observations and findings for future reference.
Provide information from field activities to support project monitoring and follow-up.
Support to Migration Governance Activities
Assist with coordination between the project and the Labour Migration and Human Development (LMHD) and Immigration and Border Governance (IBG) Units.
Follow up on assignments associated with policy development.
Support activities relating to NCM.
Follow up on activities designed to support migration governance within the Federal Government of Somalia (FGS).
Assist with activities involving relevant government institutions and project partners.
Support coordination and follow-up on assignments connected to migration governance programmes.
Maintain communication with relevant units and counterparts regarding activities requiring follow-up.
Weekly and Monthly Project Reviews
Assist in organizing weekly reviews of project implementation with the MPA Somalia coordination Office.
Support the preparation and organization of monthly project implementation reviews.
Compile information concerning progress made under the project.
Document challenges encountered during project implementation.
Compile information on actions that require follow-up.
Prepare relevant updates for review by the supervisor.
Track outstanding issues and follow-up actions arising from project review meetings.
Provide the supervisor with relevant information concerning the status of project implementation.
Project Reporting
Assist in preparing periodic project reports.
Compile information on progress made against established project indicators.
Provide relevant inputs required for internal reporting.
Contribute information required for external reporting.
Support the preparation and organization of project documentation.
Ensure information required for reporting is collected and compiled appropriately.
Assist in documenting project progress, implementation challenges, and relevant follow-up actions.
Provide information required by the supervisor for reporting purposes.
Communication with Project Counterparts
Maintain regular communication with project counterparts.
Follow up on planned and scheduled project activities.
Communicate with relevant counterparts regarding the progress of assigned activities.
Identify challenges or issues affecting implementation.
Bring implementation concerns to the attention of the supervisor for further guidance.
Support continuous communication between project stakeholders.
Follow up on outstanding matters and provide relevant updates to the supervisor.
Assist in ensuring that planned activities remain subject to appropriate follow-up.
Other Assigned Responsibilities
Perform any other duties and responsibilities that may be assigned in relation to the position.
Provide support on additional project activities as directed by the supervisor.
Undertake other relevant tasks within the scope of the assignment when required.
Qualifications
Required Qualifications and Experience
Education
Applicants should meet one of the following educational and professional experience requirements:
High School Diploma
A high school diploma accompanied by at least five years of relevant professional experience.
Bachelor's Degree
A Bachelor's degree from an accredited academic institution in:
Social Sciences;
Natural Sciences;
Engineering;
Business Administration; or
Another relevant field.
Candidates with a Bachelor's degree should have at least three years of relevant professional experience.
Accredited universities are institutions included in the UNESCO World Higher Education Database.
Experience
Applicants should demonstrate relevant professional experience in the following areas:
Experience supporting the implementation of projects within immigration and border governance programmes.
Experience communicating and coordinating with government counterparts.
Experience working with project counterparts and relevant stakeholders.
Experience organizing workshops and training sessions.
Experience supporting the facilitation of workshops and training activities.
Experience preparing and drafting reports in English.
Experience assisting with procurement-related processes.
Experience supporting financial processes associated with projects.
Experience maintaining relevant project records and documentation.
Experience using computer applications required for administrative, communication, reporting, and project-related work.
Applicants should have practical experience using common computer applications, including:

Languages
All IOM staff members, regardless of category, are required to demonstrate fluency in at least one of the organization's official languages, which are:
English
French
Spanish
For this particular position, fluency in English and Swahili is required, both orally and in writing.
