Position Purpose
To support the efficient procurement and supply chain operations of the organization by assisting in the acquisition of goods, services, and works, while ensuring value for money, compliance with procurement policies, and uninterrupted availability of essential supplies.
Key Responsibilities
Assist in coordinating the timely sourcing and acquisition of goods, services, and works required for hospital operations.
Support the identification, evaluation, and engagement of reliable suppliers and service providers to establish productive business relationships.
Monitor procurement performance indicators and contribute to initiatives aimed at improving efficiency and reducing operational costs.
Promote prudent expenditure management and support cost-saving strategies within the procurement function.
Receive and process purchase requisitions submitted by various departments and units, ensuring procurement requests are handled promptly.
Ensure procurement activities utilize approved and prequalified suppliers and contractors in accordance with organizational guidelines.
Assist in monitoring supplier and contractor performance to ensure goods and services delivered meet the required quality standards and specifications.
Participate in periodic inventory counts, including quarterly and annual stock-taking exercises.
Support inventory management efforts by maintaining optimal stock levels and minimizing losses resulting from overstocking, obsolescence, or product expiry.
Carry out additional duties and responsibilities as assigned by management.
Qualifications and Requirements
Diploma in Procurement, Supply Chain Management, Purchasing and Supplies, or a related field from a recognized institution.
Between one and three years of experience in procurement or supply chain operations, preferably within a healthcare or hospital environment.
Proficiency in computer applications relevant to procurement and administrative functions.
Knowledge of contract management and contract law will be considered an added advantage.
Familiarity with electronic procurement systems and digital purchasing platforms.
Understanding of the Public Procurement and Asset Disposal Act and related procurement regulations.
