Inventory Controller Job Description
1. Job Summary
The Inventory Controller is responsible for managing and monitoring inventory to ensure that stock records remain accurate, complete, and up to date. The role focuses on maintaining efficient inventory systems, overseeing warehouse operations, supervising inventory staff, and ensuring that stock is stored safely and handled correctly. The Inventory Controller works closely with the Inventory Manager and other departments to ensure the availability of packaging materials, finished products, and raw materials while minimizing stock losses and maintaining operational efficiency.
The successful candidate will be responsible for conducting regular stock counts, investigating inventory variances, preparing inventory reports, maintaining accurate documentation, and ensuring compliance with company policies and inventory control procedures. The role requires strong analytical skills, attention to detail, leadership ability, and excellent organizational skills.
2. Key Duties and Responsibilities
The Inventory Controller will perform the following duties and responsibilities:
2.1 Inventory Monitoring and Stock Control
The successful candidate will:
Conduct regular stock counts to verify physical inventory against system records.
Perform periodic and annual stock takes in accordance with company procedures.
Investigate inventory differences and identify the causes of stock variances.
Update inventory records after completing stock reconciliations.
Ensure inventory information remains accurate and reliable at all times.
Monitor inventory movement to prevent losses, theft, and stock shortages.
Maintain appropriate stock levels to support business operations.
2.2 Warehouse Storage Management
The Inventory Controller will:
Organize the storage of packaging materials, raw materials, and finished goods.
Maximize warehouse space while ensuring easy access to inventory.
Ensure products are stored according to company standards and safety requirements.
Monitor warehouse cleanliness and organization.
Ensure stock is arranged to support efficient receiving, storage, and dispatch processes.
Promote proper inventory handling to reduce product damage.
2.3 Inventory Reconciliation
The employee will be responsible for:
Reconciling inventory records across different warehouses and collection centers.
Monitoring inventory balances and correcting discrepancies promptly.
Verifying inventory transactions before updating records.
Maintaining accurate records for all stock receipts, transfers, and dispatches.
Ensuring inventory reconciliation reports are completed within required timelines.
Supporting internal and external inventory audits.
2.4 Raw Material and Collection Centre Management
The successful candidate will:
Monitor inventory held at different collection centers.
Track the movement of raw materials between collection centers and warehouses.
Verify inventory quantities reported by each location.
Ensure accurate reporting of stock balances.
Investigate shortages or inconsistencies and recommend corrective action.
Maintain reliable inventory records across all storage locations.
2.5 Documentation and Record Management
The Inventory Controller will:
Maintain accurate bin cards for all inventory items.
Ensure all stock movement documents are completed correctly.
Update inventory records immediately after every transaction.
Maintain organized filing systems for inventory documentation.
Prepare inventory reports for management review.
Ensure documentation complies with company policies and audit requirements.
2.6 Packaging Materials and Production Support
The employee will:
Monitor inventory levels of packaging materials and production inputs.
Review reorder levels regularly based on production requirements.
Recommend adjustments to minimum and maximum stock levels.
Prevent stock shortages that could interrupt production.
Minimize excess inventory and unnecessary storage costs.
Coordinate with procurement and production teams to maintain adequate inventory availability.
2.7 Obsolete and Damaged Inventory Management
The successful candidate will:
Inspect inventory regularly for damaged, expired, or obsolete items.
Report obsolete inventory to the Inventory Manager promptly.
Recommend appropriate disposal or recovery actions.
Maintain accurate records of damaged and obsolete stock.
Monitor inventory quality to minimize losses.
2.8 Staff Supervision and Leadership
The Inventory Controller will:
Supervise warehouse assistants and inventory staff.
Allocate daily tasks and monitor work performance.
Ensure employees follow inventory handling procedures.
Train staff on inventory management practices and company policies.
Promote teamwork, accountability, and continuous improvement.
Support employee development through coaching and performance feedback.
2.9 Health, Safety, and Compliance
The employee will:
Ensure inventory is handled safely and stored according to company standards.
Monitor compliance with workplace health and safety regulations.
Promote safe lifting, handling, and storage practices.
Ensure warehouse staff wear appropriate protective equipment.
Report safety incidents and hazards promptly.
Support a clean, safe, and organized warehouse environment.
2.10 Inventory Analysis and Reporting
The Inventory Controller will:
Analyze inventory data to identify trends and performance issues.
Prepare weekly, monthly, and annual inventory reports.
Monitor slow-moving, excess, and fast-moving inventory.
Provide recommendations for improving inventory efficiency.
Support management by providing accurate inventory information for decision-making.
Assist in developing strategies to improve inventory accuracy and operational performance.
3. Minimum Qualifications
Applicants should possess the following qualifications:
Bachelor's Degree in Supply Chain Management, Commerce, Accounting, Business Administration, Logistics, or another related field from a recognized institution.
CPA Finalist or other relevant professional accounting qualification will be an added advantage.
4. Work Experience
The ideal candidate should have:
Proven experience in inventory management, warehouse operations, accounting, or a related field.
Experience working with inventory control systems and warehouse procedures.
Practical experience using Enterprise Resource Planning (ERP) systems.
Experience supervising warehouse or inventory staff will be an added advantage.
Experience preparing inventory reports and conducting stock reconciliations.
