Job Description
This position supports the provision and maintenance of Church facilities that enable members to worship, teach, learn, pray together, make and renew covenants, and receive sacred ordinances. Facilities are expected to provide a suitable spiritual environment for worship while maintaining an image of reverence and dignity within the community.
The role supports the Facilities Manager (FM) in ensuring that facility maintenance is completed on time and according to established maintenance, repair and replacement standards and processes. It also provides administrative support to the facilities management workgroup. This is a senior-level individual contributor support position.
Responsibilities
Typical duties include, but are not limited to:
Provide training, mentorship and day-to-day guidance to lower-level employees.
Anticipate upcoming needs and proactively provide recommendations.
Support project teams by coordinating project details and following up on outstanding requirements to ensure deadlines are achieved.
Assist with preparing and controlling budgets, including monitoring project, department and area expenditure.
Conduct research, analyze information and provide recommendations based on findings.
Gather and compile complex information from multiple sources to prepare memos, reports, documents, spreadsheets with charts and graphs, and presentations using various software and platforms.
Record meeting minutes and manage related documentation.
Use computer applications to schedule meetings and appointments and maintain calendars for multiple leaders.
Manage the email inboxes of assigned leaders according to agreed requirements.
Make travel arrangements.
Deliver presentations during meetings.
Support office resilience activities and emergency response operations.
Plan, organize and coordinate large meetings, conferences and other events.
Respond to complex telephone and email enquiries.
Perform other duties as assigned.
Qualifications
Required
At least 3 years of combined relevant experience, progress toward or completion of a relevant university or post-secondary degree, or an industry-recognized certification.
Diverse clerical experience or equivalent background demonstrating the required skills.
Computer proficiency, including Windows and Microsoft applications, with the ability to learn additional software as required.
Strong communication skills, including professional telephone etiquette and effective business writing.
Basic accounting knowledge, including an understanding of invoices, purchase orders and contracts.
Strong organizational skills, including filing, scheduling, time management and prioritization.
Ability to communicate professionally and courteously with priesthood leaders, managers, employees and vendors.
Strong customer service and results-oriented skills, together with adaptability and flexibility.
Experience managing accounts and payments.
Ability to use Windows and Microsoft applications and learn other computer software when required.
Results-focused approach and flexibility to adapt to different situations and contexts to provide effective and efficient daily operational support.
Preferred
Recognized university or post-secondary degree, directly relevant experience and applicable industry certifications.
Ability to communicate in English sufficiently to participate in training sessions and calls with area and headquarters teams.
Power BI skills to support facilities management activities.
Knowledge of accounting and the local tax system.
