Job Summary
The Project Coordinator will oversee the commercial and administrative components of projects, with SAP R3 serving as the primary working system. The role operates within a project team distributed across different locations, requiring proactive coordination and clear, timely communication with project managers, suppliers, customers, logistics providers, and finance teams in various locations.
The position is based in Nairobi, Kenya, and reports to the Projects Coordination Leader.
Key Responsibilities
Bring at least 2 years of sea freight experience, which is essential for the position.
Prepare and manage transportation documentation.
Coordinate the flow of shipping documents, including bills of lading, packing lists, commercial invoices, certificates of origin, and licences.
Arrange shipment of project cargo.
Coordinate collection and delivery activities and follow the process through to the final destination.
Handle both import and export activities, with experience in both being an advantage.
Apply knowledge of customs regulations where required.
Prepare commercial documentation, arrange document legalization, and manage Letters of Credit.
Raise purchase orders and coordinate logistics to ensure goods move from suppliers to the final customer.
Create sales orders, invoices, and other documentation required for goods and services under local legislation.
Record material movements and service receipts in SAP.
Coordinate activities with project teams, market companies, and customers.
Support the Project Manager with project control activities.
Manage and oversee the commercial aspects of contracts and projects.
Understand project and business requirements and ensure they are fulfilled throughout the project.
Maintain compliance with established processes and support month-end project accounting activities.
Handle project cost and revenue accounting.
Requirements
University degree or specialization in Supply Chain Management, Logistics, or a related field.
Proficiency in English.
Good knowledge of shipping documentation and handling Letters of Origin within the region.
Practical understanding of contract accounting, purchase orders, and logistics.
At least 2 years of relevant work experience.
Knowledge of SAP is an added advantage.
