Main Duties and Responsibilities
Provide guidance and support on consular matters through telephone and email communication.
Coordinate and schedule appointments for consular services, including passport applications, citizenship-related matters, and registration of coordination numbers.
Maintain and regularly update the digital appointment management system.
Oversee the management of the consular email account and telephone inquiries during designated service hours.
Support interpretation and translation activities between Somali and English, both verbally and in writing.
Serve as the first point of contact at the Embassy reception by welcoming visitors, answering incoming calls, addressing general inquiries and complaints, relaying messages, and directing calls appropriately.
Ensure the Embassy’s telephone directory remains accurate and up to date.
Organize and manage reservations for Embassy meeting facilities.
Receive, record, and coordinate incoming and outgoing deliveries.
Assist with the processing, distribution, and shipment of official mail and diplomatic pouches.
Provide administrative support and carry out miscellaneous office tasks as required.
Undertake any additional responsibilities assigned by the Head of Administration and the Consular Section.
Qualifications and Experience
A university degree or equivalent qualification from a recognized institution in a discipline relevant to the role.
At least three years of professional experience in a related position.
Prior experience working in a consular office or diplomatic mission will be considered an added advantage.
Essential Skills and Competencies
Excellent written and spoken proficiency in English, Somali, and Kiswahili.
Strong analytical, organizational, and administrative capabilities with a proactive approach to problem-solving.
Demonstrated willingness to learn, adapt to new procedures, and effectively achieve and report on agreed objectives.
Strong commitment to delivering courteous, professional, and high-quality customer service.
Ability to interact empathetically and professionally with individuals facing challenging or distressing situations.
