Reservations Agent Job Opportunity at PrideInn
PrideInn is seeking a customer-focused and sales-oriented Reservations Agent to join its Central Reservations team. The role involves much more than simply recording room bookings. The Reservations Agent will be responsible for guiding guests through their accommodation choices, responding to enquiries, confirming reservations, managing booking changes and helping the hotel maximize revenue through effective sales techniques.
Turning Enquiries Into Confirmed Reservations
A major part of the position will involve responding to guests who contact PrideInn through different communication channels. These may include telephone calls, emails and online reservation enquiries covering the various PrideInn properties.
The Reservations Agent will need to understand what each guest is looking for and provide suitable accommodation options. Instead of simply giving available room information, the agent will be expected to use effective selling techniques to turn genuine enquiries into confirmed bookings.
This requires good communication, confidence and the ability to identify opportunities to recommend additional services, packages or accommodation options that may suit the guest.
Managing the Booking From Start to Finish
Once a guest decides to make a reservation, accuracy becomes particularly important. The Reservations Agent will process new bookings, amendments and cancellations using the applicable reservation, Property Management System (PMS) or Central Reservation System (CRS).
Guest information and reservation details must be captured correctly and kept up to date. This includes maintaining accurate guest profiles and ensuring that booking records contain the necessary information.
The agent will also confirm reservations with guests by telephone or email. Confirmation communication should provide the guest with relevant booking information as well as applicable policies so that expectations are clear before the stay.
Group and corporate reservations will also form part of the work. These bookings can involve special requirements, making it important for the Reservations Agent to ensure that all relevant information is properly communicated.
Knowing What PrideInn Can Offer
The agent will be expected to maintain detailed knowledge of the available PrideInn properties and what each one offers. This includes room types, amenities, dining options, available packages and local attractions.
This knowledge allows the Reservations Agent to provide personalized recommendations rather than giving guests generic information.
For example, when a guest explains what they require from their accommodation, the agent should be able to use their understanding of the available options to guide the guest toward an appropriate choice.
The same knowledge will also be useful when explaining promotions, seasonal offers and marketing campaigns. The agent must remain updated so that current offers can be communicated accurately.
The Sales Side of Reservations
Reservations is also a revenue-focused function. The successful candidate will therefore be expected to approach guest interactions with a sales mindset while maintaining strong customer service.
Upselling and cross-selling will be important parts of the role. When appropriate, the agent will promote hotel services, amenities and packages that can add value to the guest's booking.
The ability to recognize these opportunities naturally will be important. The role requires someone who can communicate the available options clearly and encourage guests to make confirmed bookings without compromising the quality of the customer experience.

Availability, Rates and Occupancy
Another important responsibility will involve monitoring room availability and rates across PrideInn properties. Guests need to receive accurate information when asking about available accommodation and pricing.
The Reservations Agent will also coordinate with the Revenue Management team to help ensure that rates are accurate and occupancy opportunities are properly managed.
This means the agent needs to pay close attention to changes in availability, pricing, promotions and other information that can affect reservations.
The role also requires preparation of daily and weekly reservation reports. These include History & Forecast reports and Detailed Availability Reports, which form part of the information handled by the Central Reservations team.
Payments and Reservation Records
Reservations also involve financial and administrative responsibilities. The agent will process deposits and payments according to the company's financial policies.
Accuracy is essential when handling these details, just as it is when entering reservation information.
The agent will also maintain reservation records and guest profiles, ensuring that the information handled through the reservation process remains comprehensive and accurate.
Attention to detail will therefore be important throughout the role. A small error in a reservation, guest requirement, payment or booking change can affect the information provided to the guest and other teams.
Handling Changes and Guest Concerns
Bookings do not always remain unchanged. Guests may request amendments, cancellations or additional arrangements, and the Reservations Agent will be responsible for handling these requests accurately.
The role also involves dealing with complaints and booking discrepancies. These situations require professionalism, patience and good problem-solving ability.
Where an issue cannot be resolved directly, the agent will be expected to escalate it appropriately.

What the Employer Is Looking For

Applicants should have a Diploma or Certificate in Hotel Management, Hospitality, Tourism, Travel & Tourism, or another related field.
A minimum of two to three years of experience in hotel reservations, front office or a similar hospitality position is required.
Good knowledge of reservation systems is important. Experience with the Opera System-Cloud will be an added advantage.
The candidate should also have strong knowledge of room types, rates, packages, promotions and hotel services. This knowledge will support both the customer-service and sales sides of the position.
