Resource Assistant
Role Purpose
The Resource Assistant is responsible for providing administrative and operational support in the planning, coordination, and management of organizational resources, equipment, materials, and fixed assets. The role supports Resource Coordinators by monitoring job schedules, forecasting resource requirements, coordinating equipment movements, and maintaining accurate inventory and asset records to ensure uninterrupted service delivery.
Working closely with Operations, Supply Chain, Logistics, Finance, and Service Delivery teams, the Resource Assistant ensures resources are available at the right time and location while optimizing inventory levels, maintaining compliance with company policies, and supporting efficient utilization of organizational assets.
Key Responsibilities
1. Resource Planning and Coordination
The Resource Assistant supports the effective planning and allocation of equipment, materials, and operational resources.
Key responsibilities include:
Monitor job schedules and operational plans to identify future resource requirements.
Coordinate the mobilization, demobilization, and transfer of equipment between operational sites.
Forecast resource demand based on upcoming projects and operational activities.
Support resource allocation to maximize equipment utilization.
Identify potential resource shortages and recommend corrective actions.
Assist Resource Coordinators in balancing resource availability across multiple locations.
Monitor resource utilization and recommend optimization opportunities.
2. Inventory and Asset Management
The role supports the effective management and control of company assets and inventory.
Responsibilities include:
Maintain accurate records of equipment, tools, and fixed assets.
Support inventory planning to ensure adequate stock availability while minimizing excess inventory.
Coordinate inventory reconciliation and periodic stock verification exercises.
Track asset movements and ensure proper documentation.
Assist in asset tagging, registration, and lifecycle management.
Monitor equipment availability and utilization.
Report damaged, missing, or obsolete assets for appropriate action.
3. Logistics and Equipment Movement
The Resource Assistant coordinates logistics activities to ensure timely delivery and movement of resources.
Responsibilities include:
Coordinate transportation of equipment and materials between operational locations.
Liaise with logistics providers to ensure timely deliveries.
Prepare and verify transportation documentation.
Monitor equipment dispatch and receipt.
Ensure resources are delivered according to operational schedules.
Support the coordination of import, export, or inter-site equipment transfers where applicable.
4. Documentation and Compliance
The role ensures operational documentation is complete, accurate, and compliant with company and regulatory requirements.
Responsibilities include:
Maintain permits, transportation documentation, and insurance records.
Ensure operational records are updated accurately within business systems.
Verify compliance with company policies and statutory requirements.
Maintain proper filing and document control procedures.
Support internal and external audits by providing required documentation.
Ensure compliance with dangerous goods transportation requirements where applicable.
5. Systems Administration and Reporting
The Resource Assistant maintains accurate operational data and prepares management reports.
Responsibilities include:
Enter and maintain resource transactions within SAP, ERP, and other business systems.
Generate operational, inventory, and asset management reports.
Monitor system data for accuracy and completeness.
Analyze operational trends to support planning and decision-making.
Develop reports that support resource utilization and inventory optimization.
Maintain accurate dashboards and performance records.
6. Cross-Functional Coordination
The role collaborates with internal stakeholders to ensure efficient resource management.
Responsibilities include:
Liaise with Operations, Logistics, Supply Chain, Finance, and Service Delivery teams.
Coordinate with Resource Coordinators to ensure resource availability.
Communicate operational priorities and resource requirements.
Support project teams in resolving equipment and inventory issues.
Participate in planning meetings and operational reviews.
Foster effective communication across departments to support business objectives.
7. Continuous Improvement and Operational Support
The Resource Assistant contributes to improving operational efficiency and resource utilization.
Responsibilities include:
Identify opportunities to improve resource planning processes.
Recommend initiatives that enhance inventory accuracy and operational efficiency.
Support implementation of process improvement projects.
Assist in developing standard operating procedures for resource management.
Participate in continuous improvement and operational excellence initiatives.
Perform any other duties assigned in support of resource management operations.
Academic Qualifications
Applicants should possess:
Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, Operations Management, Engineering, or another related field from a recognized institution.
Professional qualifications in Supply Chain Management, Logistics, Inventory Management, Asset Management, or Operations will be an added advantage.
Required Experience
The ideal candidate should demonstrate:
A minimum of five (5) years of experience in Resource Management, Asset Coordination, Logistics, Supply Chain, Inventory Management, or Operations Support.
Experience within the Oil & Gas, Energy, Manufacturing, Industrial, Engineering, or related sectors is highly desirable.
Practical experience in equipment mobilization, transportation coordination, and inventory optimization.
Strong understanding of resource planning, asset management, and logistics operations.
Experience using SAP, ERP systems, and resource management applications.
Advanced proficiency in Microsoft Excel, including data analysis and reporting.
Experience maintaining operational records and supporting compliance requirements.
Familiarity with transportation permits, dangerous goods documentation, and operational regulatory requirements.
