JOB DESCRIPTION
1. Technical Stores and Inventory Management
The position is responsible for the effective management of technical stores and aircraft inventory, ensuring that aircraft parts, materials, components, engines, cores, tools, and related items are received, stored, controlled, issued, and dispatched in accordance with established company procedures and applicable aviation standards.
Key responsibilities include:
Receiving, inspecting, storing, and issuing aircraft parts and materials in accordance with approved company procedures and applicable aviation requirements.
Verifying that all incoming and outgoing materials are supported by the required airworthiness and regulatory documentation.
Maintaining complete and accurate traceability of inventory throughout the stores process.
Ensuring that inventory management activities comply with company procedures and applicable aviation regulatory requirements.
Maintaining accurate inventory records and ensuring that all stock transactions are recorded promptly in the inventory management system.
Ensuring that all inventory is correctly identified, labelled, segregated, and stored in a manner that preserves airworthiness, traceability, and serviceability.
Packaging, storing, handling, and dispatching aircraft parts, components, engines, and cores in accordance with approved procedures and applicable manufacturer requirements.
Ensuring that aircraft parts and materials are handled appropriately to prevent damage, deterioration, or loss of serviceability.
Entering and updating relevant stock information in the inventory control system to maintain accurate inventory levels.
Monitoring stock levels and maintaining adequate quantities of critical aircraft parts and materials required to support maintenance operations.
Supporting the availability of required materials to minimise aircraft downtime and prevent shortages.
Advising the Head of Base Maintenance on current stock levels, reorder requirements, and procurement needs.
Ensuring that all items are stored in appropriate conditions to prevent damage or deterioration.
Conducting periodic stock counts and inventory reconciliations.
Investigating inventory variances and discrepancies and reporting them through the appropriate channels.
Maintaining accurate stores records and ensuring all inventory transactions are properly captured in the stores management system.
2. Shelf-Life, Expired Stock and Storage Control
Manage inventory that is subject to shelf-life and expiry requirements to ensure that materials remain suitable for use and that expired items are controlled appropriately.
Responsibilities include:
Monitoring shelf-life-controlled materials and time-expired items.
Applying the First Expiry, First Out (FEFO) principle when managing shelf-life-controlled stock.
Ensuring expired items are promptly identified and removed from available inventory.
Quarantining expired or unsuitable stock to prevent unintended use.
Ensuring expired items are disposed of in accordance with applicable regulatory and environmental requirements.
Maintaining appropriate records relating to expired, quarantined, and disposed materials.
Ensuring that the storage environment remains clean, organised, secure, and compliant with applicable requirements.
Maintaining appropriate controls for hazardous materials in accordance with safety and environmental requirements.
3. Maintenance Support and Material Availability
Provide effective stores support to aircraft maintenance activities by ensuring that required parts, materials, and tools are available and issued appropriately.
Key responsibilities include:
Issuing parts and materials to maintenance personnel in a timely manner.
Ensuring that issued items are accurately recorded and remain fully traceable.
Providing appropriate documentation for issued parts and materials.
Communicating material shortages that may affect maintenance activities.
Reporting stock discrepancies, delayed deliveries, and other material-related issues that may affect aircraft maintenance schedules.
Supporting maintenance operations by ensuring that required materials are available when needed.
Issuing materials and tools to maintenance personnel based on approved work orders.
Assisting with the packaging, shipment, storage, and handling of aircraft parts, components, and cores.
Ensuring that material handling activities are performed safely and in accordance with approved procedures.
4. Audits, Inspections and Process Improvement
Support the organisation’s inspection, audit, compliance, and continuous improvement activities within technical stores operations.
Responsibilities include:
Participating in internal and external inspections and audits.
Providing relevant stores and inventory records during inspections and audits.
Supporting the implementation of corrective actions arising from audit and inspection findings.
Participating in process improvement initiatives within technical stores operations.
Identifying opportunities to improve stores management processes.
Identifying potential cost-saving and cost-cutting opportunities within technical stores activities.
Supporting improvements that enhance inventory control, efficiency, accuracy, and cost effectiveness.
Ensuring that stores operations remain aligned with applicable company and aviation requirements.
5. Tools and Equipment Management
Maintain effective control, inspection, calibration, and availability of tools and equipment used in aircraft maintenance activities.
Key responsibilities include:
Implementing a system for the calibration of tools and equipment used for inspection and testing.
Ensuring calibration is carried out to an appropriate standard and at the required intervals in accordance with the provisions of the MPM.
Ensuring that tools and test equipment used on the operator’s aircraft are regularly inspected and calibrated where required.
Ensuring that all hangar and shop equipment and tools remain in serviceable working condition.
Ensuring that tools, equipment, materials, and facilities used within the workshop are adequate and appropriate for the planned work.
Ensuring that workshop tools and equipment are properly maintained.
Ensuring that applicable tools and equipment have current calibration status.
Confirming that tools and equipment are in working order before use.
Arranging for the repair or replacement of defective tools and equipment.
Ensuring that defective or unsuitable tools are appropriately removed from service until repaired or replaced.
6. Toolbox and Tool Control
Maintain effective control and accountability of tools used during aircraft maintenance activities.
Responsibilities include:
Carrying out daily tool checks on the general toolbox when tools are used during maintenance actions.
Ensuring that toolbox inventories remain accurate and current.
Confirming that all tools used during maintenance activities are accounted for.
Ensuring that tools issued to maintenance personnel are returned to the Technical Tool Store at the end of each shift.
Maintaining proper records and controls for tools issued and returned.
Supporting effective tool accountability to minimise the risk of missing tools during or following maintenance activities.
Issuing tools and materials to maintenance personnel based on approved work orders.
7. Additional Responsibilities
Perform any other duties assigned by the Head of Base Maintenance.
Support technical stores and maintenance activities as required.
Ensure that assigned responsibilities are completed in accordance with established company procedures, aviation requirements, and applicable safety standards.
QUALIFICATIONS
8. Education and Professional Experience
The successful candidate should possess:
A Diploma or Degree in Aeronautical Engineering, Supply Chain Management, Logistics, Business Administration, or a related field.
At least three (3) years of relevant work experience in aviation stores operations, inventory management, warehouse management, material planning, and stock control.
Demonstrated knowledge of aircraft parts, tools, Ground Support Equipment (GSE), consumables, and applicable KCAA regulatory documentation requirements.
Experience using Enterprise Resource Planning (ERP) systems and/or inventory management systems.
Practical knowledge of technical stores and inventory processes within an aviation environment.
Hands-on aircraft maintenance experience would be an added advantage.

The successful candidate should combine technical stores knowledge, aviation inventory experience, strong organisational ability, attention to detail, sound decision-making, and effective communication to support safe, efficient, and reliable aircraft maintenance operations.
