Visa Communications Specialist
Job Overview
The Visa Communications Specialist is responsible for managing the administrative activities involved in visa issuance and amendments while providing timely assistance to clients and professional partners. The position involves monitoring the CRM system, verifying application information, and ensuring that visa requests are handled accurately and efficiently.
Key Responsibilities
Provide clients and professional partners with accurate visa-related guidance within established service timelines and company procedures.
Prepare and issue quotations together with the required visa documentation for clients and professional partners.
Maintain and regularly update the CRM system while managing assigned visa cases and workloads.
Carefully review passports, application forms, and other supporting documents to confirm that all information is accurate and complete.
Respond promptly and professionally to client and partner emails and inquiries concerning different visa application situations.
Keep Client Engagement Managers informed about the progress and current status of visa applications.
Refer matters involving visa stamping, applications, salary certificates, salary amendments, and similar requirements to the Visa Processing Specialist for further action.
Escalate delayed, complicated, or unresolved visa matters to the Key User – Visa or Operations Manager when necessary.
Deliver a consistently high standard of customer service while protecting the reputation, values, and integrity of IFZA.
Develop and maintain positive, long-term relationships with clients and professional partners.
Manage customer complaints effectively and identify appropriate solutions that promote satisfaction and retention.
Work closely with the sales, finance, and licensing teams to ensure smooth coordination of visa-related activities.
Carry out other responsibilities related to the position as directed by management.
Requirements
Full proficiency in English is required.
Knowledge of additional languages will be considered an advantage.
Intermediate computer skills, including proficiency with Microsoft Office applications.
Excellent customer service and communication abilities, with confidence handling telephone calls, emails, and occasional face-to-face interactions.
Strong attention to accuracy and detail.
Knowledge of visa processing, amendments, cancellations, and immigration procedures is beneficial but not essential.
Tertiary qualification in Business Administration, Commerce, or a related discipline, or equivalent practical industry experience.
Previous experience in customer service or client relationship management is an advantage.
