About this role
Key Responsibilities
Warehouse Operations
Plan and assign warehouse resources, including equipment, storage areas, and personnel, based on the approved operations schedule.
Lead daily briefings and toolbox talks with warehouse staff to communicate priorities, procedures, and operational requirements.
Carry out routine spot checks to confirm that warehouse personnel are following established SOPs, workplace procedures, and operational standards.
Coordinate the physical handling and system processing of inbound, outbound, and storage activities to ensure shipments are managed safely, accurately, and within required timelines.
Monitor storage and stacking practices to ensure they comply with approved procedures, instructions from the Warehouse Manager, and QHSE requirements.
Coordinate monthly stock counts, investigate variances, and follow through on corrective actions and improvement plans.
Warehouse Management System (WMS)
Review information entered into the warehouse system and verify that records are complete and accurate.
Prepare and process goods receipt and dispatch documentation through the WMS.
Regularly reconcile system records against actual warehouse inventory and investigate any differences.
Ensure every physical movement of stock or equipment is captured in the WMS promptly and correctly.
Reconcile WMS transactions with the physical stock movement register at the end of each shift.
Health, Safety, Quality and Security
Promote compliance with all applicable QHSE requirements and maintain safe working practices throughout warehouse operations.
Monitor adherence to warehouse security procedures and conduct daily checks to identify and address any areas of non-compliance.
Ensure warehouse activities are carried out in accordance with approved safety, quality, and security procedures.
Documentation and Reporting
Ensure warehouse clerks submit completed operational documentation to the Administration Manager within the required timelines.
Review and countersign dispatch documentation, tally sheets, and stock count records to support accurate inventory control.
Maintain an up-to-date catalogue and record of all items held within the warehouse.
Prepare inventory and stock-related reports for clients and internal management as required.
Provide operational reports in line with requirements communicated by the Warehouse Manager or clients.
Investigate and document stock discrepancies, equipment issues, and damage incidents when they occur.
Prepare and distribute weekly ageing reports covering warehouse inventory.
Team Supervision
Direct and supervise permanent and temporary warehouse employees, ensuring assigned duties are completed correctly and according to established procedures.
Monitor staff performance and provide guidance where necessary to maintain productivity, accuracy, and compliance.
General Responsibilities
Maintain high standards of cleanliness and housekeeping across the warehouse.
Ensure the warehouse cleaning schedule is maintained and kept current.
Escalate WMS-related problems, system limitations, or operational gaps to the IT Manager.
Complete additional duties and assignments delegated by the Warehouse Manager.
Review and respond to client complaints concerning shipments, equipment, or stock, taking appropriate corrective action where necessary.
Minimum Qualifications
A qualification or relevant education in logistics, supply chain management, or a related field is an added advantage.
Practical experience working with Warehouse Management Systems (WMS).
Training or certification in Microsoft Office and other relevant industry-related courses will be an advantage.

Experience
At least 3 years of experience within supply chain operations, with a strong focus on warehouse management and related activities.
