Warehouse Operations Officer
Location: Nairobi
Reporting to: Warehouse Controller
Role Overview
The Warehouse Operations Officer will support the efficient management of warehouse activities in Nairobi, overseeing the allocation of equipment, storage areas and personnel while ensuring that warehouse operations are conducted safely, accurately and in line with established procedures.
Key Responsibilities
Operations
Assign warehouse equipment, storage space and staff based on the planning schedule provided by the Warehouse Manager.
Hold daily operational and toolbox meetings with the relevant warehouse teams.
Carry out daily spot checks to confirm that employees follow approved warehouse procedures and SOPs.
Coordinate the timely and efficient receipt, storage and dispatch of shipments.
Ensure equipment and stock are stacked and stored correctly according to SOPs and instructions from the Warehouse Manager.
Conduct monthly stock counts in line with established procedures.
Issue gate passes and delivery notes for each truck or warehouse activity.
Prepare manual goods receiving and dispatch documentation when required.
Safety and Security
Ensure all QHSE requirements are followed to maintain safe working conditions throughout the warehouse and yard.
Monitor compliance with warehouse security procedures and conduct daily checks to ensure the required standards are maintained.
Documentation
Ensure warehouse records and documentation are properly archived within the required timelines.
Counter-sign stack cards, tally sheets and stock-taking documents to support accurate inventory records.
Maintain an up-to-date catalogue containing the dimensions of all items stored or available in the warehouse.
Reporting
Prepare and submit reports according to requirements set by the Warehouse Manager and clients.
Prepare receiving, discrepancy and damage reports whenever necessary.
Personnel Management
Supervise permanent and casual warehouse employees and ensure assigned duties are carried out correctly and efficiently.
Other Responsibilities
Maintain high standards of cleanliness throughout the warehouse and ensure the cleaning schedule remains current.
Complete other duties assigned by the Warehouse Manager.
Contribute to warehouse budget preparation and monitor expenditure within the assigned operational budget.
Investigate complaints relating to equipment and stock shipments and take the appropriate corrective action.
Qualifications and Experience
Tertiary qualification in Logistics, Supply Chain Management or a related field.
At least two years of experience in supply chain operations, with specific experience in warehouse management.
